About The Position

The Executive Assistant provides high-level administrative, operational, and strategic support to senior executive leadership at Millennium Physician Group. This role serves as a trusted partner to executives, enabling them to operate efficiently and effectively across a complex, fast-paced healthcare environment. The ideal candidate is proactive, discreet, highly organized, and comfortable operating with ambiguity. They anticipate needs, manage competing priorities, and act as an extension of the executive—supporting decision-making, communications, scheduling, and cross-functional coordination across a large, physician-led organization.

Requirements

  • 5+ years of experience supporting senior executives (C-suite or equivalent), preferably in healthcare, physician services, or a complex, matrixed organization.
  • Exceptional organizational, time-management, and prioritization skills.
  • Strong written and verbal communication skills with executive presence.
  • High degree of discretion, professionalism, and judgment.
  • Advanced proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel); comfort with collaboration tools (Teams, Zoom, SharePoint).
  • Ability to work independently, manage ambiguity, and adapt quickly in a fast-changing environment.

Responsibilities

  • Executive Support & Calendar Management Manage complex, high-volume calendars, including internal meetings, external engagements, and travel across multiple time zones.
  • Prioritize and sequence meetings based on business criticality, proactively resolving conflicts.
  • Prepare executives for meetings by coordinating agendas, materials, and pre-reads.
  • Communication & Coordination Serve as a primary point of contact for internal and external stakeholders on behalf of the executive.
  • Draft, edit, and coordinate executive-level correspondence, presentations, and communications.
  • Facilitate follow-ups, track action items, and ensure timely execution of decisions.
  • Meeting & Board Support Coordinate leadership meetings, executive offsites, and board or committee meetings as needed.
  • Prepare agendas, compile materials, take notes, and track decisions and deliverables.
  • Maintain confidentiality and discretion around sensitive business and people matters.
  • Operational & Administrative Excellence Manage travel logistics, expense reporting, and administrative workflows.
  • Support contract routing, approvals, and document management.
  • Assist with coordination across departments including clinical leadership, operations, finance, HR, and external partners.
  • Special Projects & Strategic Support Support special initiatives, transformation efforts, and ad hoc projects as assigned.
  • Conduct basic research, organize data, and assist with presentation development.
  • Anticipate upcoming needs tied to business cycles, growth initiatives, or organizational change.
