The Executive Assistant role is a critical strategic partner to an executive and is responsible for ensuring the smooth operation of the executive team, completing difficult assignments without direct oversight, performing advanced technical and administrative support tasks. In addition to providing support to the executive to achieve company goals, this role will manage schedules, support communication strategy, and coordinate meeting logistics. The role will involve mentoring less-experienced team members and assisting leaders of various levels. This position requires a proactive, resourceful, and highly organized individual who can anticipate needs, manage complex tasks, and represent the company and their executive with consistent professionalism and integrity.

  • A minimum of 5 years of relevant experience in administrative or executive support roles.
  • Prior experience in supporting top executives.
  • Prior experience in a role with minimum supervision wherein independent judgement was applied.
  • Prior experience in managing multiple tasks in fast-paced environments.
  • Experience in managing projects, prioritizing tasks, and working independently.
  • Experience in mentoring less experienced team members and assisting leaders of various levels.
  • A degree in business administration or related field, or equivalent experience is required.

Responsibilities

  • Consistently maintains focus on goals and priorities, ensuring alignment with company and executive’s objectives.

  • Regularly and effectively manages and facilitates meetings by prioritizing agenda topics and developing agendas that ensure productive outcomes. Coordinates and oversees events, including internal team events, team off-sites, business and operational reviews, and other team meetings, including reviewing contracts, preparing materials, overseeing catering requests and communicating with meeting attendees.
