We are seeking an Executive Assistant to provide administrative and staff support for the Viya Health President and Senior Leadership team. This role is a trusted partner to leadership. Under the direction of the Head of Project Management, the Executive Assistant manages complex calendars, supports special projects, oversees consultant and vendor relationships, and ensures key legal and programmatic deadlines are met. The Executive Assistant plays a critical role in enabling executive effectiveness and supporting seamless operations across a fast-paced, dynamic work environment.

Requirements

  • Bachelor's Degree (or international equivalent) in a related field.
  • At least 5 years of related experience.
  • Equivalent combination of relevant education and experience may be substituted.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
  • Excellent customer service skills.
  • Excellent communication skills, both verbal and written.
  • Excellent organizational skills with special attention to detail.
  • Able to multi-task and meet deadlines in ambiguous and rapidly changing environments.
  • Able to maintain complete confidentiality for sensitive issues and information.

Responsibilities

  • Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf.
  • Respond to or escalate internal and external inquiries.
  • Respond to incoming communications in a polite and professional manner.
  • Manage multiple executives' day-to-day calendars, including making appointments and prioritizing the most sensitive matters.
  • Coordinate travel arrangements (both domestic and international) and create trip itineraries for executives.
  • Organize private events and in-person and virtual meetings, including scheduling, identifying venues, sending reminders and organizing catering when necessary.
  • Produce reports or presentations.
  • Maintain comprehensive and accurate corporate records, documents and reports.
  • Remain knowledgeable of corporate policy.
  • May perform moderately complex data analysis.
  • Provide support to the Head of Project Management on special projects.
