About The Position

As Executive Assistant to Kalshi's Legal team, you'll be the operational backbone for our General Counsel and the broader legal team, keeping the group running seamlessly so they can stay focused on the complex regulatory and legal work of building a new financial market. You'll own complex calendar and travel management, anticipate needs before they surface, and serve as a trusted point of contact for outside counsel, regulators, and stakeholders across the company. The ideal candidate has cut their teeth at a large law firm, understands the rhythm and demands of legal work, and takes genuine pride in being the person who makes everything run on time and without friction.

Requirements

  • 4+ years of experience as an Executive Assistant or legal secretary/paralegal support role, ideally at an Am Law 100 or comparable large law firm
  • Familiarity with legal workflows, terminology, and the pace of in-house or law firm legal work
  • Exceptional organization and attention to detail; you keep many workstreams moving across multiple attorneys without letting anything slip
  • Strong written and verbal communication skills, with comfort communicating with outside counsel and regulators
  • A proactive, resourceful problem-solver who anticipates needs and takes initiative
  • Skilled at managing competing demands and prioritizing across multiple stakeholders
  • Flexibility to work later hours when the role calls for it
  • Exceptional discretion and professionalism with confidential and privileged information
  • Based in or able to work in person in our downtown Manhattan office

Responsibilities

  • Own and manage complex calendars across the legal team, scheduling across time zones and resolving competing priorities among multiple attorneys
  • Coordinate domestic and international travel end to end, including flights, hotels, ground transportation, and detailed itineraries
  • Prepare and organize materials for meetings, board sessions, and regulatory calls, including collating documents, decks, and briefing books
  • Manage expense reports, reimbursements, and outside counsel invoicing/billing coordination
  • Serve as a point of contact between the legal team and internal stakeholders, outside counsel, and regulators, handling all communication with professionalism and discretion
  • Support document management, filing, and organization of contracts, corporate records, and legal correspondence
  • Plan and coordinate legal team events, offsites, and meetings
  • Take on occasional personal tasks and errands to help the legal team's leaders stay focused and efficient
  • Handle highly confidential and privileged information with sound judgment and total discretion
