About The Position

The New York City Department of Correction (DOC) is an integral part of the City’s evolving criminal justice system, participating in reform initiatives and strategies aimed to move the City towards a smaller jail system without compromising public safety. The DOC is responsible for maintaining a safe and secure environment for our employees, visitors, volunteers, and people in our custody. Importantly, safe jails enable DOC to provide people in custody with the tools and opportunities they need to successfully re-enter their communities. The DOC operates facilities and court commands across the five boroughs with more than 7,500 diverse professionals and knowledgeable experts. The Department of Correction Finance & Budget Division seeks to appoint an Executive Assistant, who under the direction of the Assistant Commissioner, of Capital and Expense Budget and the Assistant Commissioner of Finance and Fiscal Policy, will be responsible for but not limited to the following:

Requirements

  • A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Responsibilities

  • Serve as the unit’s Liaison in communicating with all agency staff, other agencies and the public that supports the agency, division and bureau guidelines and/or regulations;
  • Provide technical assistance and communication to the public and Agency personnel;
  • Maintain constant communication with vendor representatives to learn about new products and answer any questions related to New York City Procurement Procedures;
  • Assist the Assistant Commissioner in preparation for meetings and daily briefings;
  • Prepare confidential and sensitive documents, correspondence and/or publication materials;
  • Coordinate the daily schedule of the Assistant Commissioner;
  • Respond to internal and external requests for information;
  • Manage the Assistant Commissioner’s calendar by preparing meeting agendas and coordinating meetings;
  • Respond and organize incoming and outgoing electronic and written inquiries;
  • Maintains confidential files, documents and records;
  • Answers telephones, screening calls and/or emails;
  • Perform general office duties such as sorting mail, filing, making copies, faxing, and ordering office supplies;
  • Provide assistance during project planning, development, and implementation;
  • Assist with the preparation of presentation material, reviewing reports and documents;
  • Perform related duties as assigned.
