About The Position

The Executive Assistant is responsible for providing administrative support to the Executive team. This position requires strong organization and communication skills, a high level of confidentiality, and the ability to coordinate calendars in a timely and professional manner.

Requirements

  • High school diploma or equivalent required.
  • 5+ years of proven similar experience directly assisting executive level teams.
  • Must be proficient in Microsoft Office products, intermediate in Excel.
  • Display a high level of confidentiality in all business matters.
  • Ability to work independently as well as in a collaborative team environment.
  • Excellent customer service, written and verbal communication skills.
  • Strong phone contact handling skills and active listening.
  • Self-motivated and able to work in a fast-paced environment with heavy workload.
  • Ability to multitask, prioritize and manage time effectively while staying organized.
  • Ability to meet deadlines and adapt to changes in priorities.

Nice To Haves

  • Associate or bachelor’s degree in Business Administration or related field preferred.

Responsibilities

  • Prepare documents for meetings of the Management team and other stakeholders.
  • Schedule and maintain calendars and coordinate travel for the President, Chief Financial Officer, Chief People Officer, with the possibility of others on the executive team.
  • Coordinate internal and external Management meetings and provide necessary support including, but not limited to, scheduling, meal orders, meeting minutes, and follow up.
  • Complete expense reports and/or credit card reconciliation.
  • Collect and communicate monthly financial reports and metrics.
  • Organization, maintain and retrieve corporate record files and reports.
  • Answer, filter and direct phone calls and visitors as necessary.
  • Open, sort, prioritize and distribute incoming mail, faxes, emails and other correspondence.
  • Track and provide feedback and recommendations on organizational continuous improvement efforts.
  • Other duties as assigned.
