About The Position

Integrated Services for Behavioral Health (ISBH) is a community-minded, forward-thinking behavioral health organization helping people along the road to health and well-being. We meet people in their homes and communities and help connect them to the resources they need. We serve Southeastern and Central Ohio with a comprehensive array of behavioral health and other services – working with local partners to promote healthy people and strong communities. All of our services are intended to be collaborative and personalized for the individual. The Executive Assistant is responsible for high-level administrative support to the executive team staff. This position manages a wide range of advanced administrative and executive support-related tasks.

Requirements

  • A high school degree or GED equivalent is required
  • 4 years of administrative support, office management or related experience is required.
  • Advanced communication skills, both oral and written is required
  • Advanced organizational skills are required
  • Advanced time management skills with the ability to meet deadlines is required
  • Ability to function well in a high-paced and at times stressful environment
  • Advanced knowledge of office administration, clerical procedures, and recordkeeping systems
  • Ability to work independently and as part of a team
  • Ability to maintain confidential information
  • Advanced proficiency with Microsoft Office (Word, PowerPoint, Excel, Outlook, OneNote, SharePoint) with the ability to learn new or updated software
  • Able to prioritize conflicting demands, handle issues proactively, and follow through on projects and deadlines with effective, on-time, and accurate completion
  • Advanced analytic, problem-solving, and organizational abilities is required
  • A valid driver's license and the ability to operate a motor vehicle is required
  • An appropriate level of auto insurance coverage is required
  • Ability to manage deadlines within a fast-paced, high-volume environment is required
  • Ability to operate in an Internet-based, automated office environment is required
  • Ability to maintain a high-speed internet connection is required
  • Prolonged periods of sitting at a desk and working on a computer is required
  • Must be able to lift up to 15 pounds at times is required

Nice To Haves

  • A bachelor’s degree in business administration or related fields is preferred
  • Experience in behavioral health, healthcare or related field is preferred

Responsibilities

  • Provides administrative support and assistance to the Chief Operating Officer, Chief Financial Officer, Chief Administrative Officer, Chief Medical Officer, and/or other assigned leadership staff
  • Works closely with executive and senior leaders to support internal and external communications as well as any requests from the Board of Directors
  • Manages appointment calendars, travel arrangements, and meeting planning to support executive commitments and responsibilities with appropriate follow-up to keep the staff functioning cohesively
  • Manages supply ordering and expense reporting for assigned executive team members
  • Creates, proofreads, and compiles correspondence, required reporting, and presentations on behalf of executives.
  • Provides current agendas and necessary materials prior to meetings and keeps executives informed of any changes
  • Maintains sensitive and confidential issues and inquiries for executives, including personnel, wage, budget, and strategic information
  • Works to foster relationships across all levels of the organization to negotiate complex dynamics and manage projects and partnerships
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
  • Coordinates and manages special projects, events, and initiatives
  • Acts as a liaison between executives and internal/external stakeholders
  • Conducts research and gathers information for executive use
  • Able to be available outside of normal business hours to assist the Executive Team, when needed
  • Travel within designated service area
  • Performs other duties as assigned
