About The Position

This position serves as the Executive Assistant to the Vice President for University Advancement (VPUA), handling complex, confidential, and sensitive issues. The role provides executive administrative, logistics, operational, and communications support to the Office of the VPUA and the Executive Director of Development. It involves close collaboration with other Vice Presidents, Associate Vice Presidents, the Office of the President, and the CSU Chancellor’s Office. The position also offers comprehensive administrative and operational support to the University Advancement division, ensuring exceptional service to donors, volunteers, board members, and campus partners. Key responsibilities include managing executive scheduling and communications, coordinating meetings and events, maintaining donor records in the CRM system, and supporting daily office operations. The incumbent must exercise independent judgment in resolving scheduling conflicts, coordinating complex activities, prioritizing demands, and ensuring executive readiness. Additionally, this role supports fundraising and donor engagement by coordinating agendas and logistics for development events, donor visits, and recognition programs. It also supports University Foundation Board of Governors meetings and division-wide initiatives related to employee engagement. This position contributes to the overall effectiveness, efficiency, and mission-driven success of University Advancement through proactive administrative, event, and project support.

Requirements

  • Bachelor's degree in a related discipline and two years of recent related experience, or an equivalent combination of education and experience.
  • Knowledge, skills, abilities, and/or experience to be fully proficient in performing most or all of the work assignments defined in this position.

Responsibilities

  • Provide executive administrative support, logistics support, operational support, and communications support to the Office of the VPUA and the Executive Director of Development.
  • Manage executive scheduling and communications.
  • Coordinate meetings and events, including development events, donor visits, and recognition programs.
  • Maintain accurate donor and constituent records in the CRM system.
  • Support daily office operations.
  • Exercise independent judgment in resolving scheduling conflicts, coordinating complex activities, and prioritizing competing demands.
  • Ensure executive readiness for meetings, briefings, and systemwide engagements.
  • Support the implementation of University Foundation Board of Governors meetings.
  • Support division-wide initiatives related to employee engagement and satisfaction.
