About The Position

Under the general direction of the Provost, the incumbent performs a wide variety of high level functions to relieve the Provost of administrative details of the office. The incumbent contributes to a positive work environment. As the lead office staff, the incumbent works with other office staff to assure prompt responses and prepares correspondence and supporting documentation as directed. The incumbent is responsible for collecting, evaluating and interpreting data necessary to make informed recommendations to the Provost.

Requirements

  • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative issues including pertinent laws and regulations.
  • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.
  • Demonstrated ability to deal appropriately with confidential information and exercise good judgment on sensitive matters.
  • Maintain high level of confidentiality in handling student and faculty files.
  • Organizational and time-management skills with the ability to work under pressure and manage multiple tasks and projects under competing deadlines and maintain flexibility in response to constantly shifting priorities.
  • Strong written and verbal communication skills.
  • Mastery of English grammar, spelling and punctuation.
  • Experience with campus governance.
  • Mastery of campus software applications such as Microsoft Office, Google Workspace and knowledge of, or ability to learn, Web maintenance software.
  • Use of approved digital tools, collaboration platforms, workflow systems, and emerging technologies, including AI-enabled tools where appropriate and consistent with University policy, to improve accuracy, efficiency, accessibility, communication, documentation, and executive office operations.

Nice To Haves

  • Intermediate knowledge of PeopleSoft Financial programs or comparable applications
  • Peoplesoft Budget Query knowledge
  • Experience supporting an executive-level office in higher education, public administration, or a similarly complex organization.
  • Experience with PeopleSoft, Concur, financial/budget systems, electronic signature/workflow platforms, shared document systems, and/or project management tools.
  • Experience supporting accreditation, compliance reviews, audits, executive searches, governance processes, or high-level institutional initiatives.
