About The Position

Mount Saint Joseph High School, a Catholic, college-preparatory school for young men sponsored by the Xaverian Brothers, is seeking an Executive Assistant to the President. This role actively supports the school's mission and charism, demonstrating an understanding of and enthusiasm for boys' secondary education and Catholic and Xaverian education. The position involves comprehensive administrative support to the President, including managing files, calendars, communications, budgets, travel, and coordinating meetings. The Executive Assistant also serves as a liaison with various external organizations and internal departments, supports the Board of Directors, and assists with special events and donor/alumni interactions. This is a full-time, 12-month, exempt position requiring occasional availability for evening and weekend events.

  • Proficiency in database management systems, including Blackbaud Raiser's Edge NXT (experience with Rediker is a plus), Microsoft 365, digital presentation software, publishing programs, and social media platforms.

  • Experience working in an educational setting preferred.

Responsibilities

  • Actively supports the mission and charism of the School; demonstrates an understanding of and enthusiasm for boys' secondary education and for Catholic and Xaverian education.
  • Maintains the President's files, calendar, appointments, telephone communications, and written correspondence.
  • Provides administrative support to the President, including project management, research, and the development of reports, digital presentations, and collateral materials.
  • Manages the President's budget, credit card expense reports, travel arrangements, and general expense reports.
  • Coordinates meetings with the President and members of the senior leadership team.
  • Serves as the point of contact and liaison for the President with the Archdiocese of Baltimore, the Xaverian Brothers Sponsored Schools Office, and various national, state, and local organizations.
  • Coordinates collaboration between the Office of the President and the offices of the Principal, CFO, CAO, and the Directors of Communications, Enrollment Management, Facilities, IT, and Security.
  • Provides administrative support to the Chair and Vice Chair of the Board of Directors; assists the President and the Board Committee Chairs in preparing documents for Board meetings.
  • Ensures all Board and committee meetings are scheduled through the President's Office.
  • Manages communication between the School and the Board, including email, mailings, and portal postings; maintains Board documents, including agendas, minutes, the Board handbook, and bylaws; takes minutes at all Board meetings; and posts materials on the Board portal.
  • Coordinates with the senior leadership team to support special events hosted by the President.
  • Coordinates the President's communication and interaction with various School organizations, including, but not limited to, the Alumni Association, the Mothers' Club, and the Fathers Club.
  • In collaboration with the CAO, coordinates the President's interactions with donors and alumni.
  • May be called upon to collaborate with or cover for administrative assistants in other School offices as needs arise.
  • Performs other duties as assigned by the President.
