The successful candidate will play a critical role in the President’s effectiveness, serving as a trusted partner and ensuring their time, priorities, and commitments are managed with precision and agility. This role requires high responsiveness, sound judgment, and the ability to adapt quickly in a dynamic, fast-paced environment. Requirements

  • Experience: A minimum of 5-8 years of experience as an Executive Assistant, directly supporting a President, C-level, or senior executive in a fast-paced environment. This role requires extensive experience with complex administrative tasks and a proven ability to anticipate needs.
  • Skills: Exceptional written and verbal communication skills. Outstanding organizational and multitasking skills with strong attention to detail. Strong problem-solving and decision-making abilities. Proficiency in Microsoft Office Suite, Google Workspace, and modern workplace tools.
  • Attributes: A poised and professional demeanor with the ability to build strong relationships with internal and external stakeholders. A proactive, resourceful, and adaptable mindset is essential.
  • This is a fully on-site role requiring a consistent presence in the office Monday through Friday.
  • Ability to navigate stairs and move throughout a multi-floor office environment throughout the day.
  • Ability to lift up to 10 pounds, bend, and carry items such as office supplies, packages, or event materials.

Responsibilities

  • Complex Calendar Management: Proactively manage and maintain the President's demanding calendar, including scheduling internal and external meetings. This requires understanding the time-sensitivity of scheduling meetings with customers and external stakeholders and prioritizing accordingly.
  • Travel Coordination: Handle all domestic and international travel logistics, including flights, accommodations, ground transportation, and preparing detailed itineraries.
  • Collaboration & Teamwork: Collaborate with other members of the Executive Assistant team to ensure seamless support across the executive leadership and a unified approach to scheduling and projects.
  • Meeting Support: Prepare meeting materials, presentations, and agendas. Attend meetings as needed to take detailed notes, track action items, and ensure follow-up.
  • Project Management: Assist with special projects, conduct research, and prepare reports. The EA will need to anticipate needs and take initiative to move projects forward.
  • Expense Management: Process and reconcile expense reports in a timely and accurate manner.
  • Confidentiality: Handle highly sensitive and confidential information with discretion and professionalism.
