About The Position

This is more than a traditional Executive Assistant role — it’s a front-row seat to strategy, leadership, and enterprise-level decision-making. The Executive Assistant to the Executive Vice President, Chief Strategy and External Affairs Officer plays a critical role in enabling senior leadership and driving organizational effectiveness. This position is ideal for a seasoned, highly motivated professional who wants hands-on exposure across functions, enjoys partnering with senior leaders, and thrives in a dynamic, fast-moving environment. You’ll work closely with executive leadership, internal teams, and external partners, making this a highly visible and impactful role.

Requirements

  • 10+ years of administrative experience, ideally supporting Senior Vice Presidents or equivalent executive leadership
  • At least 3 years of experience supporting C-suite executives, with exposure to corporate operations, office management, travel coordination, expense reporting, and event planning
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience with travel and expense management tools such as AMEX and Concur
  • Exceptional organizational skills and strong attention to detail
  • Proven ability to juggle multiple priorities and meet competing deadlines in a fast-paced environment
  • High level of professionalism, discretion, and confidentiality
  • Strong written and verbal communication skills
  • A proactive, analytical mindset with a passion for improving processes and challenging the status quo
  • Self-motivated, resourceful, and comfortable working independently or as part of a team
  • Curious, adaptable, and eager to learn across different areas of the business
  • A true “jack/jill-of-all-trades” who enjoys variety and new challenges

Responsibilities

  • Manage complex and high-volume calendars for a Senior Executive and multiple Vice Presidents in a fast-paced environment
  • Serve as a trusted gatekeeper, managing communications and interactions with internal teams, external partners, and the public
  • Coordinate internal and external meetings, senior leadership sessions, and participation in industry conferences
  • Plan, organize, and support executive-level meetings, including agenda creation, materials preparation, logistics, and follow-up
  • Arrange and manage detailed domestic and international travel itineraries
  • Prepare, compile, and distribute executive-level presentations, communications, and materials
  • Process expense reports and manage invoices with accuracy and discretion
  • Lead or support events as needed, from planning through execution
  • Partner with Finance and Accounting to code invoices correctly against budgets, cost centers, and projects
  • Establish new vendors in the global procurement system (GEP) by gathering and validating required documentation
  • Utilize accounts payable systems (Catalyst) to ensure timely and accurate processing
  • Continuously look for opportunities to improve processes, increase efficiency, and support the broader organization
