Requirements

  • Bachelor's Degree in Business Administration, Communications, Healthcare Administration, or related degree
  • 5 years’ experience supporting a C level executive.
  • Equivalent experience may substitute for degree requirement

Responsibilities

  • The Executive Assistant will independently plan, coordinate, and implement policies and procedures to support the Chief Ambulatory Officer (CAO), so that all regulatory requirements are met
  • Acts as a communication liaison with UW Medicine leadership and community leaders as needed
  • Communication and Liaison with various stakeholders, ensuring clear conveyance of the CAO’s messages and managing feedback appropriately
  • Operate independently, make decisions and take actions with delegated authority to support high-level executives, including the CAO
  • Managing time-sensitive communications, which requires the ability to quickly and accurately convey information to various audiences
  • Meeting the demands of competing stakeholders, each with unique needs and expectations
  • This role requires outstanding writing abilities and the ability to communicate verbally with senior leaders, staff, and the general public
  • Records, composes and edits minutes of meetings as requested
  • Independently managing both short-term tasks and long-term projects
  • Handling highly confidential and sensitive information with the utmost discretion and professionalism
  • Serves as a confidential liaison to the Chief Ambulatory Officer and manages the executive calendar and coordinates day-to-day activities of the Chief Ambulatory Office
  • Independently arranges and coordinates committee meetings, special events, open forums, and other hospital activities
  • Schedules appropriate accommodation, orders/operates equipment, and coordinates logistical activities as needed
  • Utilizing various software and tools for document preparation, calendar management, and communication
