About The Position

Assist in the efficient operation of the school office and provide clerical services for the school. This role is crucial for maintaining records, managing schedules, and ensuring smooth communication within the school administration.

Requirements

  • 3-5 years of general clerical or secretarial experience.
  • Proficient typing, word processing, and file maintenance skills.
  • Effective organizational, communication, and interpersonal skills.
  • Specific knowledge of subjects assigned.
  • Computer and technology skills.
  • Ability to be accurate and efficient in all phases of assigned responsibilities.
  • Ability to work with campus leadership.
  • Ability to work under a minimum amount of supervision.
  • Ability to use personal computer and software to develop spreadsheets, databases, and do word processing.
  • Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress.

Nice To Haves

  • Experience as PEIMS Clerk preferred.
  • Bachelor's Degree Preferred.
  • Education/Certification in Related field preferred.
  • Ability to speak and translate in Spanish and English- preferred.

Responsibilities

  • Perform data entry and maintain student files.
  • Maintain the Deputy Superintendent's calendar/schedule.
  • Respond to inquiries from the public, parents, students, and campus staff.
  • Stay current on campus events, courses, community resources, and related information.
  • Assist with clerical tasks.
  • Maintain a log of visitors in the school.
  • Receive incoming calls, take reliable messages, and route them to the appropriate staff.
  • Comply with district policies, as well as state and federal laws and regulations.
  • Adhere to the district’s safety policies and procedures.
  • Maintain confidentiality in the conduct of district business.
  • Perform the essential functions of talking and interacting with students and/or district employees in the specific work site assigned (classroom or office setting).
  • Demonstrate regular and prompt attendance.
  • Other duties as assigned by supervisor.
  • Work closely with campus staff to research, correct, and submit documentation for errors.

  • Attend PEIMS Training.
  • Keep current and abide by district, federal, state, and local policies.
  • Maintain and file all reports, records, and other documents required for PEIMS submissions and/or audits.
  • Perform data entry as required for PEIMS.
  • Keep current on policies and procedures outlined in the PEIMS Data Standards and Student Attendance Accounting Handbook.
  • Maintain composure in a stressful situation.
  • Maintain TEASE applications submitted to TEA.
  • Coordinate room availability for PEIMS Training and Clearing.
  • Collect, assemble, and disseminate documentation for PEIMS training.
