About The Position

Mercer University's College of Pharmacy is searching for an Executive Assistant to the Dean on the Atlanta, Georgia campus. The Executive Assistant to the Dean provides high-level administrative support to the Dean and the Dean’s Office, ensuring efficient operations and effective communication within the College and across the University. This position works independently under general to indirect supervision and serves as a key liaison between internal and external stakeholders. Responsibilities include managing schedules, coordinating meetings and events, handling confidential information, and other duties as assigned.

Requirements

  • A bachelor's degree from an accredited college/university and one year of prior administrative support experience is required.
  • Knowledge of scheduling, record-keeping, and administrative workflows.
  • Familiarity with expense tracking, procurement, and basic financial reporting.
  • Awareness of FERPA regulations and institutional confidentiality standards.
  • Proficiency in Microsoft Office Suite, calendar management systems, and virtual meeting platforms.
  • Ability to manage multiple priorities, deadlines, and complex schedules efficiently.
  • Strong written and verbal communication for drafting correspondence and reports.
  • Skilled at anticipating needs, resolving scheduling conflicts, and handling unexpected issues.
  • Ability to plan and execute meetings, conferences, and special events.
  • Competence in data entry, document formatting, and using collaboration tools (e.g., Teams, Zoom).
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Capacity to work in a fast-paced environment and adjust to changing priorities.
  • Ability to build positive relationships with faculty, staff, and external stakeholders.
  • Working knowledge of software systems (e.g., Workday, etc.).
  • Excellent attention to detail, ensuring accuracy in documents, schedules, communication, etc.
  • Ability to work collaboratively.
  • Ability to compile, analyze, and present data accurately.
  • Ability to work with minimal supervision and make sound administrative decisions.

  • In lieu of education, equivalent directly relevant experience, preferably as an administrative or executive assistant, will be considered.

Responsibilities

  • Manage the Dean’s calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence and reports.
  • Oversee day-to-day operations of the Dean’s Office, including supervising student workers and managing office supplies.
  • Serve as the primary point of contact for inquiries and communications.
  • Organize and support College meetings, committees, and special events.
  • Coordinate logistics, prepare agendas, and record minutes.
  • Maintain accurate records and ensure compliance with University policies.
  • Compile and analyze data for reports, including annual reports and accreditation documentation.
  • Maintain databases and ensure data integrity.
  • Interface with faculty, staff, students, and external partners professionally and effectively.
