About The Position

The University of Mississippi (Ole Miss) is seeking an Executive Assistant to the Dean for the School of Business Administration (SOBA). This role provides comprehensive administrative and operational support to the Dean, acting as the primary point of contact for the Dean's office and ensuring the efficient day-to-day functioning of the school's administrative operations. The ideal candidate will possess exceptional organizational skills, sound professional judgment, and the ability to manage competing priorities in a dynamic academic environment.

Responsibilities

  • Manage and maintain the Dean's calendar, including scheduling meetings, appointments, and events.
  • Coordinate logistics for domestic and international travel, including itineraries, reservations, and expense reporting.
  • Prepare the Dean for daily appointments with relevant background materials and briefings.
  • Draft, proofread, and distribute correspondence on behalf of the Dean.
  • Screen and prioritize incoming communications, routing items appropriately.
  • Serve as the primary point of contact for faculty, staff, students, donors, and external partners.
  • Assist in tracking and coordinating dean-level projects, initiatives, and action items.
  • Prepare agendas, compile supporting materials, and take minutes for leadership meetings.
  • Maintain organized filing systems for records, contracts, and institutional documents.
  • Support budget tracking and processing of invoices, purchase orders, and reimbursements.
  • Assist with planning and execution of school events including advisory board meetings, donor engagements, and academic ceremonies.
  • Ensure the smooth daily operation of the Dean's suite, including supply management and coordination with facilities.
  • Onboard and orient visitors to the Dean's office.
  • Maintain confidentiality of sensitive personnel, financial, and institutional matters.
  • Perform other duties as assigned in support of SOBA's administrative mission.
