About The Position

Ellucian is seeking an experienced, highly professional Executive Assistant to the Chief Legal Officer (CLO) to provide dedicated executive support to the CLO and help ensure the smooth operation of the Office of the Chief Legal Officer. The Executive Assistant will serve as a trusted partner and extension of the CLO, enabling the CLO to operate effectively across enterprise priorities, Board responsibilities, executive leadership commitments, and the Legal organization. This is a highly visible role for an accomplished Executive Assistant who excels at supporting senior executives in a fast-paced, global environment. The successful candidate will serve as a trusted partner to the CLO, managing a complex calendar, coordinating meetings and travel, anticipating priorities, preparing executive-level materials, and ensuring the CLO is organized and prepared for critical meetings, decisions, and commitments. Because this role supports Ellucian's senior-most Legal executive, exceptional judgment, discretion, executive presence, and attention to detail are essential. You will regularly interact with members of the executive leadership team, Board members, outside counsel, senior business leaders, and other key stakeholders while handling highly sensitive and confidential information. The ideal candidate is a seasoned Executive Assistant who is proactive, resourceful, highly organized, and skilled at anticipating the needs of a busy C-suite executive.

Requirements

  • 8+ years of Executive Assistant or senior executive support experience, including significant experience supporting a C-suite or senior executive in a fast-paced corporate environment.
  • Demonstrated success managing a complex executive calendar, including frequent schedule changes, competing priorities, and meetings involving senior internal and external stakeholders.
  • Experience coordinating complex domestic and international executive travel, itineraries, meetings, and expenses.
  • Exceptional organizational and prioritization skills with the ability to anticipate needs, manage multiple priorities, and consistently deliver with a high degree of accuracy.
  • Proven ability to exercise excellent judgment and discretion when handling confidential and highly sensitive executive information.
  • Strong executive presence and interpersonal skills, with the confidence and professionalism to interact with C-suite executives, Board members, senior leaders, outside counsel, and external stakeholders.
  • Excellent written and verbal communication skills, including experience preparing and formatting executive-level correspondence, presentations, reports, and meeting materials.
  • A proactive, solutions-oriented approach with the ability to work independently, anticipate challenges, and take ownership without requiring significant direction.
  • Strong attention to detail and the ability to remain composed, flexible, and responsive when priorities or schedules change unexpectedly.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Proven ability to establish trusted relationships and collaborate effectively with Executive Assistants, leaders, and colleagues across a global, matrixed organization.

Nice To Haves

  • Previous experience directly supporting a Chief Legal Officer, General Counsel, or another C-suite executive.
  • Experience supporting a senior executive who regularly interacts with a Board of Directors.
  • Experience coordinating Board meetings, executive leadership meetings, or other high-level corporate meetings and events.
  • Familiarity with a corporate Legal department, including legal invoices, outside counsel, corporate governance, compliance, or legal operations.

Responsibilities

  • Provide comprehensive executive support to the Chief Legal Officer, serving as a trusted partner and helping the CLO effectively manage priorities, commitments, and day-to-day responsibilities.
  • Strategically manage the CLO’s complex and frequently changing calendar, time, and priorities, exercising sound judgment to sequence commitments, resolve competing demands, and protect time for the CLO’s highest-value priorities.
  • Serve as a trusted point of coordination for the CLO, thoughtfully managing incoming requests, determining appropriate routing and urgency, and ensuring the CLO’s attention is focused on the matters where it will have the greatest impact.
  • Coordinate domestic and international travel arrangements, including detailed itineraries, accommodations, transportation, and changes that may arise while traveling.
  • Manage the CLO's expense reports, invoices, administrative processes, and other executive-related transactions accurately and on time.
  • Anticipate and prepare for the CLO’s upcoming meetings, decisions, and commitments by ensuring appropriate context, agendas, materials, stakeholder information, decisions required, and relevant follow-up are organized in advance, helping ensure the CLO is fully prepared for critical discussions and engagements.
  • Partner closely with the CLO to coordinate and prepare for Board of Directors and committee activities, executive leadership meetings, Legal Leadership Team meetings, and other enterprise-level commitments, ensuring the CLO is well prepared and that interactions with senior internal and external stakeholders are seamless and highly professional.
  • Prepare and format executive presentations, correspondence, reports, agendas, meeting materials, Board materials, and other communications on behalf of the CLO.
  • Serve as a key point of contact for the Office of the CLO, professionally managing requests and communications from executives, Board members, outside counsel, employees, and external partners.
  • Coordinate Legal Leadership Team meetings, department meetings, all-hands events, offsites, and other activities led by the CLO.
  • Track key commitments, decisions, action items, and follow-ups from the CLO's meetings and help ensure important priorities continue moving forward.
  • Anticipate the CLO's needs, proactively identify scheduling or logistical challenges, and resolve issues before they become obstacles.
  • Maintain highly confidential executive, legal, corporate, and Board-related information with exceptional discretion.
  • Partner closely with other Executive Assistants across Ellucian to coordinate executive schedules, leadership meetings, events, and company-wide priorities.
  • Provide administrative support for select Legal department activities, including invoice processing, vendor coordination, documentation, and other operational needs.
  • Support the CLO during acquisitions, Board activities, leadership initiatives, and other highly confidential or time-sensitive matters.
