About The Position

Jesuit Social Services is seeking an Executive Assistant to the CEO to provide high-quality and reliable executive support, enabling the CEO to use her time effectively and fulfill her leadership responsibilities. This role is crucial for supporting the organization's work, which addresses social, economic, and ecological injustices impacting vulnerable individuals and communities. The Executive Assistant will manage the CEO's diary, inbox, correspondence, records, meetings, and travel, acting as a professional and responsive point of contact for internal and external stakeholders. The position requires sound judgment, discretion, and collaboration with colleagues to ensure coordinated workflows and effective support for the CEO. The role is full-time, based in Richmond, with occasional travel to other Jesuit Social Services locations.

Requirements

  • Substantial experience providing high-level executive assistance to a CEO, organisational leader or other senior executive in a diverse, fast-paced environment.
  • Highly developed organisational and time-management skills, with demonstrated ability to anticipate needs, manage competing priorities and meet deadlines with limited supervision.
  • Excellent written and verbal communication skills, including experience drafting and proofreading professional emails and correspondence.
  • Sound judgement, initiative, diplomacy and discretion, with the ability to handle sensitive and confidential information appropriately.
  • Advanced Microsoft 365 and digital literacy.
  • Strong stakeholder-management skills.
  • Demonstrated capacity to work collaboratively and independently, take initiative and follow matters through to completion.
  • A relevant tertiary qualification and/or equivalent executive support or business administration experience is required.
  • The ability to conduct oneself and undertake role responsibilities in a way that reflects and upholds the organisation’s identity and ethos.

Responsibilities

  • Coordinating the CEO’s diary, inbox, correspondence, records, meetings, travel and stakeholder commitments.
  • Ensuring effective follow-through across the organisation.
  • Supporting strategic projects and new initiatives led by the CEO.
  • Supporting the CEO’s engagement with the Australian Jesuit Province, the Jesuit Conference of Asia Pacific and other priority stakeholders.
  • Providing high-level executive support to the CEO.
  • Acting as a professional and responsive point of contact for internal and external stakeholders.
  • Managing competing priorities and meeting deadlines with limited supervision.
  • Handling sensitive and confidential information appropriately.
  • Working collaboratively with colleagues to maintain coordinated workflows and effective support for the CEO.
