About The Position

This role involves providing comprehensive support to the CEO, managing their schedule, communications, and projects. The Executive Assistant will act as a gatekeeper, ensuring the CEO's time is used effectively and priorities are managed strategically. Key aspects of the role include managing complex calendars, drafting correspondence in the CEO's voice, preparing briefings and summaries, coordinating with internal staff and external partners, and supporting research and project management. The position requires a proactive, adaptable, and highly organized individual who can thrive in a fast-paced, evolving environment and maintain the highest levels of discretion and professionalism.

Requirements

  • Mid-career professional with experience, maturity, and judgment for a high-visibility executive support role.
  • Exceptional written communication skills, including the ability to draft executive correspondence, create concise briefings, and ghostwrite in a senior leader’s voice.
  • Proactive and anticipatory nature; ability to identify executive needs before they are asked and bring solutions.
  • Highly tech-savvy with strong proficiency in productivity and organizational tools.
  • Advanced Excel skills.
  • Genuine aptitude for leveraging technology to work smarter.
  • Strong information-gathering and synthesis skills; ability to distill complex data into clear, digestible insights.
  • Ability to prioritize effectively when everything feels urgent.
  • Ability to pivot without losing footing.
  • Ability to maintain professionalism and composure in a fast-paced, constantly evolving environment.

Nice To Haves

  • Chief of Staff experience or aspirations in that direction.
  • Experience with the CliftonStrengths assessment, specifically Arranger, Relator, Responsibility, Individualization, and Strategic strengths.
  • Orlando-area candidates are preferred.

Responsibilities

  • Manage the CEO's calendar, including scheduling meetings, making judgment calls on time allocation, sequencing commitments, and protecting space for focused work.
  • Adjust quickly to shifting priorities and communicate changes with professionalism and clarity.
  • Draft emails and correspondence in the CEO's voice.
  • Prepare talking points and executive summaries for upcoming engagements.
  • Synthesize information from multiple sources into concise briefings.
  • Coordinate with staff across the organization to track follow-through on action items and gather materials for board meetings.
  • Ensure cross-functional commitments are being met.
  • Serve as a point of contact for board members and external partners, handling relationships with discretion and care.
  • Pull together background materials for strategic meetings.
  • Track the status of organizational priorities and prepare summaries for the CEO.
  • Anticipate the CEO's needs and bring solutions.
  • Handle confidential information with care.
  • Represent the executive office with consistency.
  • Bring a positive, resourceful, roll-up-your-sleeves attitude to all tasks.
