Requirements

  • Associate’s Degree required
  • Four years of Executive Administration experience reporting directly to senior management required.
  • Advanced skills in Word, Excel, Power Point and Outlook.
  • Exceptional interpersonal skills with a friendly and professional demeanor.
  • Ability to quickly become familiar with company specific programs and software.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Ability to manage diverse projects & tasks simultaneously.
  • Exceptional work ethic with the ability to uphold a strict level of confidentiality.

Nice To Haves

  • Banking experience highly preferred.

Responsibilities

  • Manage and coordinate the CEO’s calendar and schedule. Schedule meetings, appointments and manage travel itineraries.
  • Coordinate all correspondence and paperwork generated by the CEO by maintaining an organized filing system of paper and electronic documents
  • Open all mail for the CEO’s office and determine disposition or forward to CEO.
  • Coordinate executive communications, assist and accommodate visitors and take messages or field/answer questions as appropriate.
  • Manage several corporate wide projects and prepare presentations as assigned.
  • Assess the urgency and importance of organizational situations and take appropriate action to notify necessary team members for resolution. Needs to engage with many of the team leaders.
  • Coordinate information from several sources and prepare a variety of reports required for CEO and Board members (e.g. Marketing Report, etc.)
  • Arrange corporate events located at the corporate office and at external venues such as off-site executive meetings, fundraising events or staff events.
  • Uphold a strict level of confidentiality. Develop and sustain a high level of professionalism among staff and clientele.
  • Assist and act as backup in the following areas:
  • Coordinating agenda for weekly Executive Committee meetings, monthly Directors meetings, and annual Corporators meetings. Assist in tracking items to be presented on an annual basis and ensures they are submitted timely.
  • Assist in preparation of and uploads to Board Portal, all pertinent board meeting information to each board member, ensuring packages are complete, accurate, and timely. Assist in ensuring minutes of all board meetings and records are filed appropriately in the Board portal.
  • Assist in the preparation of new listing of officers and Corporators for bank use; assist in preparation of correspondence to new and retiring board members; and prepare any paperwork required after each meeting.
  • Assist in recording attendance at board and committee meetings, forwarding vouchers to Finance for payments, and preparing documents needed to generate 1099-MISC. forms for each board member at year-end
  • Other duties as assigned
