About The Position

The Executive Assistant (EA) to the CEO serves as a trusted partner and force multiplier for the Chief Executive Officer, enabling focus on strategy, growth, and leadership of a global organization. This role goes well beyond traditional administrative support, it requires exceptional judgment, discretion, organizational mastery, and the ability to anticipate needs in a fast-moving, acquisitive, international business. The ideal candidate is highly proactive, detail-oriented, and comfortable operating with senior executives, Board members, private-equity partners, and global leaders across multiple time zones. Schedule: On-Site Monday-Friday 8-5 PM

Requirements

  • 7+ years of experience as an Executive Assistant supporting a CEO or senior executive in a fast-paced environment
  • Proven experience working with Boards of Directors and senior leadership teams
  • Exceptional organizational, communication, and time-management skills
  • High degree of discretion, integrity, and emotional intelligence
  • Strong written communication skills with executive-level polish
  • Ability to manage ambiguity, shifting priorities, and confidential information

Nice To Haves

  • Experience in a global, multi-site, or private-equity-backed organization
  • Exposure to M&A, integrations, or rapid-growth environments
  • Advanced proficiency with Microsoft Office, MS Teams, SharePoint, and general collaboration tools
  • Willingness to flex schedule to support global time zones and executive travel

Responsibilities

  • Serve as the primary support to the CEO, managing complex calendars, priorities, and time allocation across internal and external commitments
  • Anticipate needs, proactively prepare materials, and ensure the CEO is fully briefed and organized for all meetings, travel, and engagements
  • Act as a gatekeeper and liaison, handling sensitive matters with professionalism, confidentiality, and sound judgment
  • Coordinate Board of Directors meetings, including scheduling, logistics, agendas, materials, and follow-ups
  • Support Executive Leadership Team (ELT) meetings, offsite meetings, and global leadership events
  • Track action items and ensure timely follow-through across executives
  • Coordinate high-quality communications on behalf of the CEO (town hall meetings, memos, presentations, announcements)
  • Interface with senior leaders, investors, advisors, customers, and partners with confidence and professionalism
  • Coordinate cross-functional and cross-regional activities, including global leadership travel and meetings
  • Manage complex domestic and international travel arrangements, including itineraries, visas, accommodations, and contingencies
  • Ensure seamless logistics for meetings, site visits, acquisitions, and global events
  • Support strategic initiatives, integrations, and special projects assigned by the CEO
  • Assist with preparation of Board materials, strategy decks, and leadership presentations
  • Maintain organized systems for documents, contacts, and information flow
