About The Position

This position will report directly to the Space Propulsion & Power Systems (SPPS) sector President. This role will also collaborate with the other Missile Solutions segment and SPPS sector executive assistants to support sector-wide coverage and events. Responsibilities include travel management, calendar management, staff actions coordination, special presentation preparation, special events logistics, conference room meeting setup, expense reporting, food services and support of communications to executives and customers. This role will require frequent interaction with intra- and inter-organizational contacts, customers, vendors, and representatives of professional organizations and public agencies that will require good diplomacy and judgment to resolve conflicting needs, and ability for discreetly handling sensitive internal and proprietary data. This position may also be involved in meetings in which management-only discussions occur so discretion is required. This role requires a highly organized, detail-oriented individual with excellent written and verbal communication skills and the ability to manage multiple tasks simultaneously. While this position is remote, site preferences include Redmond, WA; West Palm Beach, FL; Mason, OH; or Canoga Park, CA.

Requirements

  • High School Diploma or equivalent and a minimum of 10 years of prior relevant administrative assitant experience or 2 years post-Secondary/Associates Degree with a minimum of 6 years of prior related administrative assistant experience.
  • 2+ years’ experience with Microsoft Office tools, (Microsoft Word, Excel, PowerPoint, Outlook, Teams and Zoom.)
  • 2+ years experience as Senior Executive Assistant required.
  • Ability to obtain U.S. Security Clearance.

  • Assists in analyzing and establishing plans to meet key project objectives, and to identify and resolve issues.
  • Assist in monitoring and managing critical department and project information, and schedules.
  • Effectively work as a team member; successfully establishing and maintaining cooperative working relationships.
  • Provide guidance and mentoring to other assistants.

Responsibilities

  • Calendar & scheduling maintenance and direct report coordination for the SPPS President with support required outside core hours and across all U.S. time zones.
  • Travel management (booking, expensing and monitoring for travel changes) with support required outside core hours and across all U.S. time zones.
  • Support of sector-wide events and meetings, to include catering, coordination, room assignments and stakeholder communications.
  • Functional team support, business rhythm and performance data collection and dissemination.
  • Other duties as assigned.
