About The Position

JEVS Human Services has an exciting new opportunity for a detail oriented and organized professional to join our growing team as the Executive Assistant to our Chief Executive Officer. In this role, you will be responsible for partnering with and supporting the CEO of JEVS Human Services, including managing the daily administrative needs of the office and all related activities that contribute to the smooth and well-organized operations of the Agency.

Requirements

  • Minimum Associates degree or ten years' experience supporting a senior executive level position.
  • Must have advanced computer skills in Microsoft applications especially Word, Excel, PowerPoint and Outlook. Must have a willingness to learn and master various other programs as required.
  • Demonstrated ability to draft, edit, proofread, and finalize executive level correspondence.
  • Experience and understanding of a union labor force environment and collective bargaining agreements.
  • Experience with Board of Directors or similar organization structure.
  • Exceptional interpersonal and customer service skills. Written and oral communication, attention to detail, ability to meet deadlines with equanimity are important.
  • Well organized and able to prioritize in a high volume fast-paced environment.
  • Accuracy and timeliness are required.

Responsibilities

  • Serve as a partner to support the CEO in the success of their role
  • Aid and ongoing support for the workflow in the CEO's office and serve as the administrative lead for the office
  • Coordinate, manage and support correspondence and scheduling for the agency and all JEVS Human Services board (s) including JEVS Care at Home and the Foundation. This position will work in close partnership with the Board Liaison and Board Chair.
  • Manage contracts and obtain needed signatures
  • Assist CEO and CFO with budgeting when needed; maintain budget information
  • Manage and maintain the CEO's schedule
  • Schedule appointments with internal and external contacts
  • Prepare and support meeting preparation including agendas, materials and presentations emails
  • Manage logistics for meeting as directed including space, food, materials, etc.
  • Take meeting notes and transcribe when needed
  • Cover meetings as requested by the CEO
  • Assist in special events and functions
  • Provide administrative assistance
  • General correspondence; internal and external
  • Manage and support CEO's email
  • Manage and support CEO' and office direct mail
  • Order supplies
  • Copying and faxing
  • Maintain files for resource information
  • Support and manage all staff email correspondence
  • Prioritize workstream for CEO
  • Ensure prompt processing of invoices; code and submit to accounting
  • Participate in scheduled training classes
  • Maintain and support timekeeping system for CEO and direct reports
  • Manage all travel related needs for CEO and provide monthly reconciliation of expenses
  • Oversee and support special projects as assigned by CEO
  • Serve on the executive team of the agency and serve as a liaison to the executive team
  • Serve as a back up to support the use of Board Effect and board related matters
  • Manage sensitive and confidential materials on behalf of the CEO and agency
