About The Position

The primary function of the Executive Assistant for Talent Acquisition is to support the executive recruiting function at ADT. You will own the candidate experience when it comes to scheduling interviews, travel arrangements and the on-site interview experience. You will manage multiple requests and projects in a fast-paced environment, problem solve and bring common sense solutions. Having a professional demeanor and advanced written and communication skills is required. The role will play a critical part in facilitating communications and serve as a point of contact for the VP and executive recruiters. This role is based at our Boca Raton, FL HQ and requires 4 days a week in office.

Requirements

  • High school diploma/GED; Bachelors preferred.
  • Minimum of 5 years of administrative support or equivalent experience.
  • High attention to detail.
  • Proficient in Microsoft Office (Word, Excel, Outlook, Teams and PowerPoint).
  • Experience engaging and communicating with senior level management in a professional manner.
  • Demonstrated ability to use excellent judgement in handling sensitive and confidential information.
  • Passion for constant improvement in candidate experience.
  • Excellent interpersonal, written, and verbal communication skills with strong attention to detail.
  • Bias for action where work prioritization and schedule management are concerned.

Responsibilities

  • Schedule and coordinate phone, video and on-site interviews with hiring leaders and other interviewers.
  • Provide candidates with detailed communication for all scheduled interviews.
  • Keep accurate candidate tracking data, update and manage documents.
  • Ensure an excellent candidate experience through prompt follow up and constant communication through the candidate lifecycle.
  • Anticipate bottlenecks, manage escalations, and prioritize work.
  • Collaborate with Executive Leaders, Hiring Leaders, Administrative Assistants, HR and other stakeholders to provide a seamless candidate experience.
  • Provide other organizational/administrative duties across the Recruitment team.
  • Balance multiple time-sensitive priorities and act with urgency while maintaining a high degree of communication and service.
