Position Summary McKesson is seeking an Executive Assistant within Supply Chain Planning. Provides broad and complex administrative support to two Vice Presidents serving as an extension of the leaders in a manner that ensures the most efficient use of their time and maintains positive, effective, and collaborative working relationships across the organization. This individual must be proactive, articulate, service-oriented, and able to learn preferences and anticipate needs. Also, must possess a flexible personality, be an energetic self-starter and be able to work in a fast-paced environment with demonstrated ability to prioritize and manage competing priorities. The successful candidate will also be able to manage through ambiguity and work through others to obtain information needed to problem-solve, meet deadlines to effectively support the leaders. A sense of humor, ability to stay calm under pressure and an enthusiastic curiosity for continuous learning in support of business and mission-critical objectives are highly desired. Requires an extreme degree of confidentiality and independent judgment and discretion in administering information of a sensitive and critical nature to McKesson with little to no supervision or direction.

Requirements

  • Typically requires 5+ years of related experience.
  • HS Diploma, Vocational Training, Professional Certification or Equivalent. A degree is preferred.
  • 5+ years advanced administrative support experience working with mid-level executives within and outside the company, customers, visitors, and other dignitaries.
  • Have a genuine interest in the business and want to understand how we function, why we function, who our clients are, and what our industry is about.
  • Demonstrated ability to gracefully handle time-sensitive duties.
  • Possess excellent organizational skills with attention to detail and follow-through, comfortable making decisions, and comfortable working on initiatives that require confidentiality.
  • Direct experience dealing with sensitive and conflicting situations in a diplomatic manner; manage and de-escalate conflict appropriately, know when to delegate issues upward.
  • Possess strong business judgment and high ethical standards.
  • Exhibit strong executive presence and possess excellent communication skills, both written and verbal, to inspire confidence when interacting with a wide variety of internal and external contacts at all levels including extensive engagement with SVP, CFO, President.
  • Demonstrated passion for learning new things, continuous improvement sharing best practices.
  • Ability to think strategically and understand business and industry; see the “big picture.”
  • Ability to quickly learn/adapt using diverse tools and technologies.
  • Proficient in Microsoft Word, Excel, OneNote, PowerPoint, Webex, and Teams.

Responsibilities

  • Coordinate, arrange, and run logistics for staff meetings and a variety of other meetings (quarterly operational reviews, manager meetings, department town halls, supplier, and customer meetings, etc.) including preparing meeting materials ahead of time.
  • Coordination of reports and development of presentations.
  • Document, manage, and track meeting action items.
  • Establish direct internal and external relationships with key company influencers.
  • Maintain overall efficiency and accuracy of administrative processes and procedures.
  • Plan and coordinate employee/client events.
  • Serve as lead and manage small projects.
  • Perform an extensive range of administrative tasks such as calendar management, expenses, coordination of complex international and domestic travel itineraries, etc.
