About The Position

Credence is seeking an Executive Assistant Senior to support the Air Force Life Cycle Management Center WAM (AFLCMC/WAM) directorate, F-16 division at Hill AFB, UT. The F-16 program is a significant multi-role fighter jet program with a large Foreign Military Sales (FMS) component and a cooperative development program known as MNFP. The role involves providing comprehensive administrative and logistical support to executives within this dynamic environment.

Requirements

  • Minimum of an active Secret security clearance.
  • Master’s or Doctoral Degree in a related field and a minimum of ten (10) years of experience in the respective technical / professional discipline being performed, at least five (5) of which must be in the DoD.
  • OR Bachelor’s Degree in a related field and a minimum of twelve (12) years of experience in the respective technical/professional discipline being performed, five (5) of which must be in the DoD.
  • OR a minimum of fifteen (15) years of directly related experience with proper certifications as described in the PWS labor category performance requirements, eight (8) of which must be in the DoD.
  • Recommend ten years of administrative or management analyst support experience.
  • Recommend two years of experience working in a DoD acquisition program office.
  • Recommend knowledge of military organizational structures and chain of command.
  • Recommend familiarity with DoD and USAF protocol, military customs and courtesies.

Responsibilities

  • Receive and screen incoming calls and visitors, determine priority matters, and alert executives.
  • Inform executives of important matters and deadlines.
  • Anticipate information needs, gather and summarize information, and refer calls or visitors to appropriate staff.
  • Receive, sign for, and distribute mail.
  • Maintain executive master schedules and calendars.
  • Schedule appointments and meetings, considering commitments, workload, and current issues.
  • Coordinate availability with others to minimize scheduling conflicts.
  • Inform executive staff of commitments and potential conflicts, and reschedule appointments as needed.
  • Advise preparers of deviations or inadequacies and required coordination with other offices.
  • Advise the F-16 workforce concerning information to be provided by subordinate organizations for executive utilization.
  • Ensure correspondence is reviewed by the appropriate chain of command and is administratively sound.
  • Implement minor edits in preparation for executive review and approval.
  • Prepare announcements or data calls with due dates and staffing format, track responses, and consolidate input.
  • Assist in assimilating data under suspense and drafting responses.
  • Arrange for domestic and foreign travel based on traveler preferences and mission intentions.
  • Develop itineraries, coordinate reservations and transportation, and prepare USG personnel travel orders in DTS.
  • Provide instructions to travelers regarding trip specifics, meeting agendas, itineraries, and necessary travel documents.
  • Organize and prepare for F-16 workforce events and ceremonies.
  • Obtain supporting provisions and prepare presentation materials for events.
  • Ensure availability of awards, decorations, mementos, and handouts for events.
  • Serve as a focal point for executive staff events and logistics planning.
  • Assist project officers in making arrangements for military-sponsored events.
  • Monitor or escort visitors, including general officers, distinguished DoD visitors, foreign officers, and high-ranking personnel from other government agencies.
  • Provide temporary administrative support to visiting executives.
  • Assist with non-technical issues related to base operations, providing directions and local area familiarity.
  • Support other fighter divisions in coordinating visitor requests, physical security measures, and facility management.
