About The Position

Executive Assistant/Scheduler Scope: Reporting to the AUSA Chief of Staff, the Executive Assistant/Scheduler will provide administrative support to the Executive Office as well as AUSA Vice Presidents. Position is hybrid remote, onsite Tuesday through Thursday, and remote Monday and Friday.

Requirements

  • Minimum of 4+ years of experience as an Executive Assistant or similar role, preferably reporting directly to senior management.
  • Bachelor's degree in a relevant field, or a combination of education and work experience.
  • Advanced Microsoft Office skills, with an ability to become familiar with association-specific programs and software.
  • Strong organizational, project management and problem-solving skills with excellent multi-tasking abilities.
  • Outstanding written and oral communication skills.
  • Ability to work evenings and weekends as necessary during events.
  • Upholds a strict level of confidentiality and sustains a high level of professionalism in all interactions and communications.

Nice To Haves

  • Familiarity with the Military/Army highly desired.

Responsibilities

  • Serves as a highly proficient and detailed scheduler for the calendars of the President & CEO, Chief of Staff, and Vice Presidents as required, ensuring that calendars are up to date and conflicts avoided.
  • Coordinates executive communications as directed by the Chief of Staff, including taking calls, responding to emails, setting up conference calls, and scheduling meetings.
  • Prepares sophisticated, well-written internal and external correspondence, reports, and other documents for the Chief of Staff's review and approval.
  • Manages complex domestic and international travel arrangements as requested and creates related itineraries.
  • Arranges internal and external events as directed, including making catering arrangements and handling registration.
  • Assists in managing the Executive Office budget, including coding and tracking invoices and maintaining related spreadsheets.
  • Maintains an organized filing system of paper and electronic documents for easy access and retrieval.
  • Assists in preparing for AUSA Board meetings, Annual Meeting, and other events throughout the year, including preparing and assembling meeting materials such as binders or other handouts.
  • Other special projects as assigned.
