About The Position

A leading retail organization is seeking an experienced Executive Assistant – Retail Merchandising to provide high-level administrative and logistical support to senior marketing and merchandising leadership. This role requires prior experience in retail or beauty environments and a proven ability to support executives in fast-paced, dynamic settings. The Executive Assistant will play a critical role in managing executive schedules, travel, communications, and confidential information while acting as a trusted representative of the leadership team.

Requirements

  • 5+ years of executive-level administrative assistant experience
  • Extensive experience managing executive calendars, meetings, and travel arrangements
  • Proven ability to support senior or C-level executives
  • Strong analytical, organizational, and project management skills
  • High attention to detail and ability to maintain accurate records
  • Proficiency with Microsoft Word, PowerPoint, Outlook, Excel, Teams, and Concur
  • Excellent communication and interpersonal skills with experience interacting with high-profile executives
  • Ability to handle highly confidential information with discretion
  • Previous experience in a retail, merchandising, or beauty organization is mandatory

Responsibilities

  • Provide comprehensive administrative and logistical support to senior executives and marketing leadership
  • Manage complex executive calendars, meetings, and scheduling across multiple stakeholders
  • Coordinate extensive travel arrangements, including flights, car services, and hotel accommodations
  • Create detailed business travel itineraries requiring research and independent judgment
  • Prepare and submit accurate, timely expense reports
  • Draft and format correspondence, presentations, and leadership communications (e.g. town halls, business updates)
  • Support daily operational needs of the Marketing Leadership team, including schedules, travel, and expenses
  • Collaborate cross-functionally to support special projects, meetings, and leadership initiatives
  • Handle inquiries and requests that require research, follow-up, and discretion
  • Maintain professionalism and confidentiality while managing sensitive and complex information
  • Adapt quickly to changing priorities and executive working styles
  • Provide backup support to other executive assistants as needed
