About The Position

All in One Employment Services is urgently recruiting an experienced Executive Assistant / Real Estate Development & Construction Coordinator for an immediate opportunity in Miami. This position needs to be filled ASAP. We are looking for a highly organized, sharp and proactive professional who can serve as the CEO's right hand while also helping manage real estate development and construction projects. This is NOT a traditional Executive Assistant position. Candidates must have previous construction and real estate development experience.

Requirements

  • Minimum 3 years of office experience.
  • Previous construction AND real estate development experience is required.
  • Strong executive support and project coordination experience.
  • Excellent organizational and time-management skills.
  • Strong analytical and research abilities.
  • Exceptional attention to detail, especially with numbers.
  • Knowledge of basic construction procedures.
  • Experience with contracts, legal documents, insurance, banking and accounting-related documentation.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent internet research and technology skills.
  • Ability to manage multiple projects, deadlines and priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision.

Nice To Haves

  • Familiarity with zoning, entitlement and permitting processes is a major plus.
  • Supervisory experience is a plus.
  • Bilingual English/Spanish preferred.

Responsibilities

  • Manage the CEO's calendar, scheduling, contacts and front-line communications.
  • Gather, organize, analyze and summarize information for executive decision-making.
  • Handle confidential business and occasional personal matters with discretion.
  • Coordinate real estate development, entitlement and construction activities.
  • Perform pre-purchase due diligence on land and redevelopment opportunities.
  • Research zoning, entitlements, approvals, demographics, market conditions and development issues.
  • Review and coordinate contracts and legal documentation with attorneys and other professionals.
  • Prepare market studies, cost/budget analyses, executive summaries, investor reports and other research.
  • Coordinate contractors, architects, engineers, consultants, professionals and subcontractors.
  • Track project milestones and push consultants and professionals to meet deadlines.
  • Manage and track RFIs, submittments and change orders.
  • Coordinate permitting, inspections and construction documentation.
  • Review project draws against budgets and approved changes.
  • Coordinate with bank inspectors as needed to facilitate timely payments.
  • Coordinate insurance matters with agents, attorneys and other professionals.
  • Maintain organized electronic and physical project records.
  • Prepare project status reports for ownership and investors.
  • Attend weekly meetings, track action items and report progress.
  • Anticipate what the CEO and project team need and take initiative to get it done.
