About The Position

The Recording Academy is seeking a highly organized and adaptable Executive Assistant to provide administrative and departmental support to the Chief People & Culture Officer and People & Culture team. You are a proactive problem-solver who excels at managing competing priorities, managing up, and navigating sensitive matters with discretion and sound judgment. You have strong interpersonal skills, professionalism, and the ability to work effectively across diverse personalities and stakeholders.

Requirements

  • 3+ years of related administrative experience, preferably in a Human Resources environment, and/or equivalent combination of education and experience.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Planner, and SharePoint).
  • Experience with HR databases/HRIS systems. Workday preferred.
  • Familiarity with AI-powered tools and the ability to leverage emerging technologies to improve efficiency, streamline workflows, and support day-to-day productivity.
  • Excellent organizational skills and attention to detail with the ability to maintain accessible information, manage competing priorities, and work efficiently in a fast-paced environment.
  • Excellent interpersonal skills with a high level of professionalism, discretion, and ability to maintain confidentiality.
  • Ability to maintain professionalism, composure, and adaptability in sensitive and high-profile situations.
  • Ability to adapt quickly to shifting priorities, changing circumstances, and unexpected needs while maintaining organization and effectiveness.
  • Strong written and verbal communication skills with the ability to communicate professionally, diplomatically, and effectively across all levels of the organization.
  • Flexibility to work extended hours as needed based on business and event requirements.

Nice To Haves

  • Bachelor’s degree in Human Resources or similar field, or certificate in Human Resources preferred.
  • Familiarity with recruiting, human resources processes, and industry best practices preferred.

Responsibilities

  • Serve as a key point of contact for employees, candidates, new hires, vendors, and internal/external stakeholders, responding to inquiries and coordinating with appropriate People & Culture team members as needed.
  • Provide comprehensive administrative and operational support to the Chief People & Culture Officer, including complex calendar management, high-volume meeting scheduling, travel coordination, expense reconciliation, correspondence, and day-to-day departmental support.
  • Support the New Hire Buddy Program by serving as an initial point of contact for new employees, coordinating buddy assignments, and helping facilitate a welcoming onboarding experience.
  • Update and maintain the internal company newsletter, coordinating and publishing organizational announcements, employee information, and company updates.
  • Complete and respond to employment verification requests from authorized vendors, companies, and third-party organizations.
  • Track departmental initiatives, action items, approvals, and deliverables.
  • Assist with the coordination and execution of employee programs, departmental initiatives, meetings, and high-profile events.
  • Partner with internal teams and external auditors to gather documentation, coordinate requests, and support audit-related requirements.
  • Perform additional administrative and People & Culture operational responsibilities as needed.
