About The Position

Stifel Canada is looking for a highly motivated full-time Investment Banking Executive Assistant to support the Head of Mining Investment Banking and the broader team. This role is to provide high-level administrative support and operational support, along with strong client service. The Executive Assistant will be responsible for performing an array of administrative functions requiring discretion, initiative and sound judgement. Success in this role requires the ability to work effectively with senior leaders and team members across all levels in a fast-paced environment. You will be expected to remain flexible, proactive, resourceful, and efficient, while maintaining a high level of professionalism. You will also adopt processes and approaches as needed to support team priorities and ensure work is completed in line with the department’s objective. Requirements

  • A high regard for detail and accuracy are essential.
  • Knowledge of capital markets and the financial services industry would be an asset;

  • Minimum three years prior executive assistant work experience in investment banking or management consulting.
  • Proficient in Microsoft Outlook, PowerPoint, Excel and Word;
  • Proficient in Zoom.

Responsibilities

  • Perform administrative duties, including: multi-calendar management, filing, mailing, creating and maintaining records, and miscellaneous administrative support as needed;
  • Coordinate business meetings, conferences, presentations and client events. Prepare agendas and material;
  • Manage email inbox as required;
  • Coordinate complex travel arrangements;
  • Prepare monthly expense reports and other monthly reporting duties;
  • Prepare client invoices;
  • Prepare deal-related correspondence;
  • Maintain multiple extensive contact databases and
  • Client interfacing where required, and handling of general email and phone inquiries.
