About The Position

Reporting to a member of the A+E executive team, the Executive Assistant serves as one of the primary points of contact for internal and external constituencies for their leader. They also serve as a liaison to senior management teams and external executives. The role organizes and coordinates executive outreach and external relations efforts; and can, from time-to-time, oversee special projects as assigned. They must be able to, at times, work under pressure to handle a wide variety of activities and matters and always operate with the utmost confidentiality, discretion and integrity. Currently we have 4 opportunities that all candidates will be considered for. Some roles may require regular presence at our NYC offices.

Requirements

  • At least 10 years of administrative experience supporting one or more senior executives in a corporate environment
  • Strong proficiency in MS Office 365 (Outlook, Excel, Word, Teams, etc.)

Responsibilities

  • Completes a broad variety of administrative tasks including but not limited to: Composing and preparing correspondence that is often confidential
  • Arranging complex and detailed travel plans, itineraries, and agendas; supporting the compilation of documents for travel-related meetings
  • Liaising with IT and other shared services teams as needed to support varying events and meetings
  • Managing an extremely active calendar of appointments; completing expense reports.
  • Coordinate departmental meetings and events
  • Manage meeting preparation including: Preparing agenda, handling presentations, preparing research, managing materials
  • May include some in person component to prep a physical space
  • Provide coverage and backup to other executive team EAs or for division/department
  • Leverage multiple technologies, including AI tools, to support/further your work and streamline processes
