Role Overview The Office of the CEO (OCEO) is a lean, high-impact function focused on maximizing executive leverage and ensuring the CEO’s time, energy, and attention are directed to the highest-impact work. As the Senior Executive Assistant, your mandate is clear: calendar, communications, briefings, and executive travel. You will also create and maintain an operating playbook for your role – documenting standards, decision principles, and workflows to ensure consistency and scalability. You serve as a trusted partner to the Head of the OCEO and work in close, daily partnership with the CEO. Through strong judgment, anticipation, and thoughtful trade-offs, you design and manage the CEO’s time, information, and travel as an integrated operating system—ensuring the CEO is consistently prepared, protected from noise, and positioned to lead with clarity and impact. This role requires exceptional discretion and is ideal for someone who thrives in high-stakes environments and understands that disciplined control of time, information, and movement enables exceptional leadership.

Requirements

  • 7+ years supporting C-suite executives in fast-paced environments
  • Judicious: Excellent judgment and comfort making decisions independently
  • Focused: Values clarity, prioritization, and depth over task volume
  • Communicative: Strong written skills; able to distill complexity into clear briefs
  • Discreet: Highly trustworthy with sensitive information
  • In-Person Ready: Available to work from Bay Area offices (primarily Fairfield, and also Oakland and San Francisco)

Responsibilities

  • Own the CEO’s calendar end-to-end as a strategic operating system
  • Make independent trade-offs to prioritize the highest-leverage meetings and relationships
  • Anticipate preparation, travel, recovery, and focus needs when scheduling
  • Protect deep work time and ensure the CEO’s energy is sustainably managed
  • Coordinate seamlessly with internal leaders and external partners
  • Own and manage the CEO’s inbound and outbound communications – including email, phone calls, texts, and messaging platforms – with discretion, judgment, and clarity
  • Triage incoming communications, surface what matters, and filter noise across all channels
  • Draft, edit, and send executive-level responses on the CEO’s behalf when appropriate
  • Track follow-ups and ensure critical threads close cleanly, regardless of channel
  • Maintain strict confidentiality and trust across highly sensitive communications
  • Prepare concise briefs, context, and pre-reads for all key meetings
  • Synthesize information from across the company so the CEO enters meetings informed and aligned
  • Highlight decision points, risks, and opportunities ahead of time
  • Ensure materials are clear, timely, and calibrated to the CEO’s preferences
  • Own end-to-end scheduling and coordination of the CEO’s business travel
  • Design travel itineraries that align with calendar priorities, preparation needs, and recovery time
  • Coordinate flights, ground transportation, lodging, and meeting logistics in close alignment with the calendar
  • Anticipate risks, contingencies, and tight transitions; proactively adjust plans as needed
  • Ensure the CEO is fully briefed and prepared for meetings before, during, and after travel
  • Partner with the Associate EA or other support as needed for on-the-ground execution
  • Create and maintain an operating playbook for calendar, email, briefing, and travel workflows – including decision principles, preferences, and escalation paths
