About The Position

Provide high‑level executive, strategic, and operational support to the Chief Executive Officer. Operating at the enterprise level, this role requires broad organizational awareness, sound judgment, and direct engagement with the CEO, Board of Directors, and Senior Leadership Team. Functioning as an extension of the CEO, the Executive Assistant anticipates needs, prioritizes enterprise‑level initiatives, and enables effective decision‑making through strong written and verbal communication, exceptional organizational skills, and the ability to balance multiple priorities while executing critical initiatives in a fast‑paced, complex environment.

Requirements

  • Associates degree required, Bachelor's degree preferred
  • 8–12 years of experience supporting C‑suite executives, with demonstrated exposure to Board of Directors and senior leadership teams.
  • Exceptional Organizational Skills:
  • Exceptional organizational and prioritization skills, with the ability to manage complex, competing demands across enterprise‑level initiatives; adept at maintaining executive systems, calendars, and documentation with precision and discretion using advanced digital tools.
  • Strong Communication Skills:
  • Executive‑level written and verbal communication skills, including the ability to represent the CEO’s voice, synthesize complex information, and build trusted relationships with senior leaders, Board members, and external stakeholders.
  • Proficiency in Technology:
  • Advanced proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Teams) with the ability to quickly adapt to emerging technologies that support executive productivity, collaboration, and governance processes.

Responsibilities

  • Provide comprehensive administrative, strategic, and operational support to the Chief Executive Officer, including managing a highly complex and dynamic calendar, preparing expense reports, handling correspondence and mail, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings
  • Strategically manage and optimize the CEO’s schedule and priorities with internal and external stakeholders.
  • Serve as a trusted gatekeeper and primary point of contact for the CEO’s office, facilitating appropriate access to the CEO’s time while creating effective, win‑win outcomes for stakeholders.
  • Communicate directly with, and on behalf of, the CEO with Board members and senior leaders on matters related to executive priorities and initiatives.
  • Support the processing and payment of departmental invoices through established bill‑payment tools and systems.
  • Research, prioritize, and respond to incoming issues and requests directed to the CEO, many of which are sensitive or confidential, determining appropriate action, resolution, or delegation.
  • Act as a liaison between the CEO’s office and internal departments, fostering clear communication, credibility, trust, and alignment with senior leadership.
  • Partner closely with the CEO to ensure awareness of upcoming commitments and responsibilities, providing timely follow‑up and proactive support.
  • Serve as an organizational “barometer,” maintaining awareness of key issues and developments across the enterprise and keeping the CEO appropriately informed.
  • Partner with the CEO on cross‑functional, enterprise‑wide initiatives; independently lead or coordinate special projects requiring judgment, prioritization, and executive‑level communication.
  • Execute critical deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other materials that support the CEO’s effectiveness.
  • Prioritize competing and conflicting demands; handle matters proactively and expeditiously, exercising sound judgment and ensuring successful completion of projects, often under deadline pressure.
  • Maintain the highest level of discretion and confidentiality in interactions with the Board of Directors, external partners, and internal stakeholders.
  • Assist in the planning and coordination of Senior Leadership Team meetings, including scheduling, preparation of materials, and follow‑up on action items.
