About The Position

Portland Community College (PCC) is seeking a temporary Executive Assistant for Academic and Career Pathways (ACP). This role will provide complex, confidential support for ACP leadership, manage executive communications, workflows, and strategic calendar planning. The position will also handle proactive event and meeting coordination, and support operational and financial processes including budget preparation and document approvals. The Executive Assistant will be a key strategic partner for ACP project accountability, operations problem-solving, continuous process improvement, and cross-departmental collaboration. This position reports directly to the Associate Vice President of ACP, and will also support the Assistant AVP of ACP and the Associate Dean of ACP. The role will have a desk at the Sylvania Campus, with some remote work opportunities, and will require travel among PCC campuses and centers.

Requirements

  • Associate’s Degree in business administration or related field. Relevant experience may substitute for the degree requirement on a year-for-year basis.
  • One (1) year of progressively responsible administrative support experience.

Responsibilities

  • Provide complex, confidential support for ACP leadership.
  • Manage executive communications, workflows, and strategic calendar planning.
  • Provide proactive event and meeting coordination.
  • Support operational and financial processes including budget preparation and document approvals.
  • Act as a key strategic partner for ACP project accountability, operations problem-solving, continuous process improvement, and cross-departmental collaboration.
  • Successfully execute multiple parallel projects in a complex organization by strategically using office and project management technologies, managing calendars, prioritizing tasks, anticipating logistical needs, and tracking accountability across the division.
  • Maintain strict confidentiality and professional boundaries, while also being a collaborative team player and welcoming ambassador.
  • Craft clear, concise, and professional communications on behalf of executive leadership and the division.
  • Apply sound ethical judgment when solving problems and reviewing approvals.
  • Evaluate and improve administrative workflows, followed by clear change documentation, training, and communications.
