About The Position

This is a Confidential Secretary position within the N.C. Department of Agriculture & Consumer Services, providing executive-level support to the Chief of Staff. The role involves working alongside the Commissioner’s Assistant and another Chief of Staff’s Assistant to manage the day-to-day operations of the executive office. Key responsibilities include complex scheduling, meeting coordination, research, correspondence, constituent and stakeholder communications, and travel arrangements. The position requires exceptional organization, professionalism, discretion, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. A valid Driver's License is required.

Requirements

  • Must have a valid Driver's License.
  • Skilled in practicing effective communication techniques, both orally and in writing.
  • Ability to establish and maintain effective working relationships with staff, officials, and the general public.
  • Experience in planning, prioritizing and organizing office work flow and procedures.
  • Experience in Microsoft Office Suite and Adobe.
  • Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution; or Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.

Responsibilities

  • Provides executive-level support to the Chief of Staff.
  • Works alongside the Commissioner’s Assistant and another Chief of Staff’s Assistant to support the day-to-day operations of the executive office.
  • Manages complex scheduling.
  • Coordinates meetings.
  • Conducts research.
  • Handles correspondence.
  • Manages constituent and stakeholder communications.
  • Coordinates travel.
  • Provides administrative support.
  • Assists with communications and coordination with internal and external partners, including department staff, constituents, community organizations, agricultural industry leaders, legislative and government offices, and other stakeholders.
  • Prepares briefing materials and information for meetings.
  • Tracks follow-up items and correspondence.
  • Ensures executive priorities and schedules are effectively managed.
