About The Position

The Executive Assistant (EA) provides high-level administrative, operational, and strategic support to a Senior Vice President (SVP) of Human Resources. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs. The ideal candidate is a trusted partner and advisor who thrives in a fast-paced environment, can manage multiple priorities simultaneously, able to work without guidance, and is comfortable representing the SVP in day-to-day communications.

Requirements

  • Minimum 7 years of high level executive support
  • Demonstrated ability to exercise sound judgment, maintain discretion, and handle highly confidential information appropriately
  • Proven demonstration of analytical and problem solving skills
  • Advanced knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook, and SharePoint
  • Excellent communication skills, both verbal and written
  • Ability to quickly learn new technology programs
  • Able to work independently and as part of a team
  • Strong organizational, time management, and multitasking skills
  • Critical thinking and problem-solving skills
  • High level of attention to detail and follow‑through

Responsibilities

  • Manage executive calendar, meeting, event, and follow-up activities for the SVP, including scheduling, prioritizing requests, coordinating across stakeholders and time zones, preparing materials, capturing minutes or action logs as needed, and ensuring commitments are completed on time
  • Provide high-level administrative support including document assimilation, preparation, and quality assurance
  • Act as liaison between SVP and internal and external contacts
  • Serve as a trusted partner and advisor to the SVP, proactively managing priorities and anticipating needs
  • Act as point of contact for administration issues and escalating as appropriate
  • Liaise and provide support to other RWE Assistants, providing coverage for other Executive Assistants when needed
  • Plan and book all SVP business travel including preparation of all necessary forms and documents
  • Prepare and submit travel and business expense reports accurately and on time
  • Monitor and help manage the SVP’s inbox with discretion, identifying priorities, drafting or sending routine responses as authorized, flagging urgent matters, and escalating sensitive or high-impact issues appropriately
  • Support HR leadership routines and confidential people-related processes by preparing materials, coordinating follow-ups, maintaining discretion with sensitive employee, compensation, organizational, and employee relations information, and escalating sensitive matters appropriately
