A little bit about our team: At Atlantic Music Group, we sit at the intersection of culture and commerce. While our artists define the sound of the future, our Finance and Operations teams build the infrastructure that makes that creativity possible. This role is the connective tissue between three of our most vital internal engines. You will be embedded in the day to day of the Chief Financial Officer, providing the analytical and administrative support necessary to navigate the inner workings of a major music label. You will also work closely with the SVP of Business Operations/GM of 10K, helping to streamline the workflows that keep our business agile. Additionally, you will provide support as needed to the Manager of the Office of the CEO, ensuring that the highest levels of our leadership remain synchronized. By supporting the intersection of these departments, your work directly contributes to our ability and goal to remain a market leader. You aren’t just managing calendars; you are ensuring that the people driving our business strategy have the space and information they need to succeed. Your role: Atlantic Music Group is seeking energetic, highly organized, and proactive, Executive Assistant to support the Chief Financial Officer, as well as the SVP of Business Operations/General Manager of 10K, and the Manager, Office of the CEO as needed. This role requires exceptional professionalism, sound judgment, and unwavering confidentiality, operating within a fast-paced environment at the center of a major music company. The ideal candidate is efficient, enthusiastic, eager to learn, resourceful and a logical thinker.

Requirements

  • You have acquired a Bachelor’s Degree
  • Exceptional organizational skills and the ability to manage complex workflows.
  • Absolute discretion and the ability to handle highly sensitive information.

  • Ability to work efficiently and remain adaptable amid shifting priorities

  • Ability to logically problem-solve, anticipate needs, and synthesize information.
  • Proficiency in Google Workspace (Sheets, Slides, Gmail, Forms, etc.).

Nice To Haves

  • 0-2 years of prior experience within the music industry (including internships) or an understanding of its structure and pace—is strongly preferred.

Responsibilities

  • Maintain an intricate, rapidly shifting calendar with multiple priorities
  • Coordinate logistics for all meetings, calls, financial review and cross-departmental sessions
  • Prepare agendas, briefing materials, research packets, decks, and follow-up actions for internal and external meetings.
  • Handle all domestic and international travel bookings, itineraries, and accommodations (T&E).
  • Process, track, and reconcile expenses accurately and in a timely manner.
  • Uphold the highest level of confidentiality across financial information, executive discussions, company initiatives, and internal communications
  • Assist in preparing materials and coordinating contributors for Board meetings.
  • Support select personal or administrative tasks to ensure workflow efficiency and executive organization.
  • Collaborate with financial-adjacent departments across WMG, including Business Development/M&A, COE, Corporate Finance, Legal, and the CFO/CEO offices.
  • Provide administrative and operational support to the SVP of Business Operations as needed.
  • Assist in the planning, coordination, and execution of company-wide events
  • Assist in managing the process of engaging 3rd party consultants.
  • Support company space planning efforts, including making updates to office layouts and seating plans
  • Assist in coordinating onboarding logistics in partnership with HR, ensuring new hires have desks, equipment, and access badges on their first day.
  • Assist in coordinating the standardized office operations across all coasts, including consistent vendors, furniture, and ergonomic setups.
  • Assist in inventory management and the full lifecycle of company assets, from procurement, storage, digitizing, and decommissioning.
  • Support select 10K artist-related artist projects and initiatives, including scheduling, preparation of materials, and cross-team coordination.
  • Partner closely with the CEO’s office to maintain alignment across senior leadership
  • Step in to support scheduling, preparation, logistics, or administrative tasks during high-volume periods.
  • Represent the executive offices with professionalism, discretion, and a solutions-oriented mindset when interacting with internal teams, external partners, and industry stakeholders.
