This role will be part of an iconic brand that is set to revolutionize the electric pick-up truck & rugged SUV marketplace. The Executive Assistant will manage complex calendars, coordinate meetings and events, facilitate communication, manage travel and logistics, and handle confidential information with the utmost professionalism. You will build and maintain strong working relationships, stay informed of company priorities, support leadership operating rhythms, and assist with executive presentations and materials. You will also track action items, partner closely with leadership teams, collaborate with other Executive Assistants, support onboarding, foster teamwork, and serve as a Scout ambassador. Special projects and other responsibilities as assigned.

Requirements

  • Minimum 8+ years of administrative experience
  • Minimum of 3-5+ years supporting a C- Level executive in a fast-paced environment
  • Excellent prioritization skills based on a sharp understanding of business priorities
  • Experience in streamlining processes and creating efficiencies, including AI literacy
  • Expert organization with global calendar management, including arranging global travel
  • Experience managing confidential and sensitive documents and meetings demonstrating superior judgement and discretion
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities
  • Willingness to operate in a fast paced environment, cutting through complexity and the possibility of continuous changes with an eagerness to learn
  • Excellent communicator, both written and verbal, who closely monitors incoming communication and can flag potential challenges while creating a solution
  • Highly proficient with Microsoft office suite
  • Strong learning agility with the ability to learn quickly various systems, tools, and processes
  • Detail-oriented, proactive, and able to work independently.
  • Strong problem-solving skills and a positive attitude
  • Minimum of High School Diploma, GED or equivalent required for all roles at Scout Motors, Inc.

Responsibilities

  • Manage complex calendars for Scout leadership members ensuring effective prioritization of meetings, proactive conflict resolution, and alignment with evolving business priorities.
  • Coordinate and schedule meetings, leadership reviews, offsites, and executive events across Finance, Strategy & Brand, and other cross-functional teams.
  • Facilitate effective communication across Finance, Strategy & Brand, the Executive Team, and key business partners to ensure alignment and execution of critical priorities.
  • Manage domestic and international travel arrangements, event logistics, and expense reporting, ensuring seamless execution and attention to detail.
  • Uphold the highest level of professionalism, discretion, and sound judgment when handling highly confidential financial, strategic, organizational, and executive information.
  • Build and maintain strong working relationships across Scout Motors and with external partners to support efficient collaboration and effective execution.
  • Maintain a strong understanding of company priorities, organizational dynamics, and business objectives while effectively navigating change in a fast-paced environment.
  • Support leadership team operating rhythms, including staff meetings, leadership reviews, strategic planning sessions, offsites, and business updates.
  • Assist in preparing, editing, and coordinating executive presentations, communications, reports, and meeting materials.
  • Track action items, follow-ups, and key deliverables on behalf of the CFO and VP, Strategy & Brand to support alignment and execution across teams.
  • Partner closely with Finance, Strategy & Brand leadership teams to coordinate priorities, communications, presentations, and business initiatives.
  • Collaborate closely with other Executive Assistants to ensure a seamless experience across the executive leadership team.
  • Support onboarding and integration of new leaders, team members, and key stakeholders as needed.
  • Foster collaboration, connection, and effective teamwork across departments and leadership teams.
  • Serve as a Scout ambassador by positively representing the company, leadership team, and culture.
  • Assist with special projects and other responsibilities as assigned.
