About The Position

The Executive Assistant supports senior and executive leadership with daily, monthly and quarterly responsibilities related to internal and external stakeholders. This role takes initiative in providing administrative and operational support, creates capacity for leaders, and helps drive effective coordination, communication and follow-through across the organization.

Requirements

  • Bachelor’s degree and 5 years of experience coordinating projects or supporting work at an executive-level OR 9 years of experience coordinating projects or supporting work at an executive-level

Responsibilities

  • Manage complex executive calendar and scheduling needs, including internal and external meetings with senior leaders, customers, partners and partner executive assistants.
  • Coordinate and lead preparation for all Senior Leadership meetings, including but not limited to securing meeting location, travel, accommodations, catering, equipment/supplies, etc.
  • Collate briefing documents for Executive meetings, including drafting, preparing, and proofreading letters, memos, reports, spreadsheets, charts and presentations.
  • Track follow-ups, commitments and action items from leadership meetings to support accountability and meeting effectiveness.
  • Assist with special projects which may include research, business operations support, or specific personnel and organizational development initiatives.
  • Identify recurring administrative or operational friction points and proactively recommend process improvements, tools, templates or automation where appropriate.
  • Support leadership operating rhythms by helping coordinate meetings, materials, action tracking and follow-up discipline.
  • Plan all aspects of Executive’s travel.
  • Process expense reports, requisitions, invoices, PO’s and new hire needs to ensure timely support and vendor payment.
  • Effectively interact with all stakeholders including internal and external customers, developing collaborative relationships across CDW to ensure positive results.
  • Arrange all aspects of department gatherings, leadership meetings and events, including location, set-up, food, activities and related logistics.
  • Create professional PowerPoint presentations and executive-ready materials.
  • Maintain department lists, department and senior level organizational charts, and other team resources as needed.
  • Act as a department liaison when appropriate.
