About The Position

The Executive Assistant to the Chief Information Officer provides high-level administrative, operational, and strategic support to the Chief Information Officer (CIO) and the broader IT leadership team. This role ensures smooth daily operations of the CIO by managing complex schedules, coordinating executive communications, handling sensitive information, supporting project and departmental activities, and serving as a liaison across internal and external stakeholders.

Requirements

  • Associate or bachelor's degree in business, Technology, Communications, or related field.
  • 5+ years supporting senior leaders; experience supporting a CIO/CTO or technology executive strongly preferred.
  • Experience with SAP or similar ERP systems preferred.
  • Proficiency in MS Office Suite (Teams, Outlook, Excel, PowerPoint) and comfort with IT systems.
  • Strong understanding of business operations and cross-functional workflows.

Responsibilities

  • Manage the CIO’s complex calendar, including prioritization of appointments, leadership meetings, cross-functional engagements, and confidential discussions.
  • Screen, prioritize, and route incoming communications; prepare responses and manage follow-ups to ensure timely action.
  • Prepare meeting agendas, presentations, reports, and executive summaries; ensure the CIO is briefed and equipped for all commitments.
  • Coordinate travel, agendas, itineraries, and expense reporting.
  • Assist with document and data management supporting IT initiatives, project updates, and departmental reporting.
  • Organize and track IT team meetings, departmental communications, and follow-up actions.
  • Serve as a key point of contact between the CIO and internal/external stakeholders—demonstrating professionalism, discretion, and business acumen.
  • Greet and support visitors, partners, vendors, and cross-functional leaders engaging with the CIO or IT function. Functional leaders engage with the CIO or IT function.
  • Ensure communications reflect executive tone, accuracy, and consistency.
  • Provide administrative and coordination support for enterprise initiatives, including SAP S/4HANA implementations and technology transformations.
  • Coordinate complex program and governance meetings, including scheduling across global stakeholders, preparing agendas, compiling materials, tracking action items, and ensuring timely follow‑up.
  • Manage travel logistics for CIO, IT leadership, and project participants related to the implementation of workshops, onsite sessions, and vendor engagements.
  • Support preparation of executive presentations, status updates, and briefing materials for steering committees and senior leadership forums.
  • Coordinate logistics for training sessions, change management activities, and user readiness events, including calendars, materials distribution, and attendance tracking.
  • Serve as a liaison between IT leadership, functional partners, and external implementation vendors to support clear communication and alignment.
  • Maintain discretion and confidentiality when handling sensitive project information, timelines, and executive communications.
