About The Position

The Executive Assistant provides high-level administrative support to the CEO. Reporting directly to the CEO, this role works in a one-on-one relationship with the CEO within a two-EA support model, partnering closely with the current Executive Assistant to ensure shared coverage, coordination of executive priorities, and seamless support. The Executive Assistant also serves as a liaison to the board of directors and senior leadership, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and enjoy working in an entrepreneurial environment. The ideal candidate exercises sound judgment in a variety of situations and demonstrates strong written and verbal communication, administrative, and organizational skills, with the ability to effectively manage multiple priorities. Success in this role requires building and maintaining a strong partnership and collaborative working relationship with the current Executive Assistant.

Requirements

  • Bachelor's degree required
  • 7+ years of related experience in a senior executive assistant role supporting C-Level executives required.
  • Advanced Proficiency in Google Suite and Microsoft Office.
  • Ability to communicate effectively and professionally.
  • Flexibility in working hours is required based on the CEO’s business needs, projects, and meeting schedule.

Responsibilities

  • Manage sensitive matters with strict confidentiality and discretion, especially decisions that directly impact the company's global operations.
  • Sustain a daily calendar of meetings and events.
  • Prepare presentations, agendas, reports, special projects, and other documents to support the organization's objectives.
  • Prepare expense reports.
  • Screen incoming emails; take and deliver accurate messages; respond to requests by gathering and providing information, and referring non-routine emails to the appropriate staff.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations in which the executive is involved.
  • Manage the Executive's contacts.
  • Assist in preparing and managing presentations and decks.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours
  • Welcome the Executive’s guests by greeting them in person, answering or directing inquiries.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Represent the company and the CEO in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting, and analyzing information in advance as needed.
  • Complete ad hoc projects as assigned.
  • Organize complex calendars and schedules and resolve any scheduling issues.
