About The Position

The Denver Center for the Performing Arts (DCPA) is seeking an Executive Assistant & Business Manager for the Education and Community Engagement (EDU/CE) department. This role provides dual support: acting as the Executive Assistant to the Executive Director of Education and Community Engagement, handling scheduling, correspondence, and support materials, and providing direct administrative support to the Director of Business Operations for accounts payable/receivable, payroll, expense reporting, and contract management. The position also manages the day-to-day operations of the department, including communications, office space, supplies, and serving as an administrative liaison. Additional support will be provided to Director-level staff and Program Managers. This role oversees accounts payable and tracks departmental impact and engagement.

Requirements

  • Bachelor degree required.
  • Minimum of 3 years professional experience in theatre, education, business, office management or administration required.
  • Strong organizational, written and verbal skills required.
  • Advanced computer skills in Microsoft Office products necessary, Excel in particular.
  • Strong customer service, house management and people skills.
  • Exceptional phone etiquette.
  • Strong self-starter, able to work and complete tasks without direct supervision.
  • Multi-tasking skills, able to be flexible and available for unexpected tasks.

Nice To Haves

  • B.A. in theatre, arts management, business, education or related field helpful but not required.
  • Experience with Adobe Creative Suite helpful but not required.
  • Previous administrative support role preferred.

Responsibilities

  • Manage the organization and day-to-day operations of the Education and Community Engagement Department in partnership with the Director of Business Operations, Registrar and On Site Class Manager, including classes, meetings, events, inventory, and spaces – 14 classroom studios and one theatre.
  • Serve as Executive Assistant to the Executive Director of Education and Community Engagement, including scheduling, correspondence, expense tracking and reporting, and creation of support materials for the DCPA Board of Directors.
  • Support Education and Community Engagement program administration, including Shakespeare in the Parking Lot.
  • Collaborate with cross-functional internal working groups including Marketing, Theatre Company, Broadway and Education and Community Engagement divisions in support of the Executive Director and EDUC&CE Department.
  • Support the Director of Business Operations in management and coordination of accounts payable, accounts receivable, hiring paperwork and onboarding of part-time staff, payroll backup, budget tracking and expense reporting, and RAMP mileage and expense support.
  • Provide additional administrative support to the Director of Education and Curriculum Management and Director of Community Engagement, including floor and event management.
  • Support Program Managers in administrative deliverables and in Tessitura for engagement tracking and invoices.
  • Manage all Education and Community Engagement program participation numbers and assessment, gathering numbers and creating department reports.
  • Manage studio space use by outside groups, coordinating and providing all Education class and event schedules.
  • Staff the Education and Community Engagement front desk during regular office hours, answering the department’s main phone line and welcoming guests.
  • Manage department supplies and oversee ordering and maintenance of inventory, including the Jones Library collection.
  • Oversee House Management for 3rd floor studios and Weeks Conservatory Theatre for external events.
  • Collaborate with Security to welcome guests and patrons for programs and special events.
  • Oversee maintenance needs and requests for all Education and Community Engagement spaces in partnership with the Director of Business Operations and Education Technical Director.
  • Represent DCPA Education and Community Engagement at career fairs and event tables.
