About The Position

This role is responsible for owning the systems that allow the founder and team to focus on building and selling. The position encompasses executive support, office operations, vendor and finance operations, IT setup, recruiting coordination, event production, and internal AI workflows. It is a high-trust, high-autonomy role within a fast-moving early-stage company, reporting directly to the CEO. The ideal candidate will ensure the smooth operation of all aspects of the company's day-to-day activities.

Requirements

  • 3+ years in executive support, chief of staff, office management, or a similarly broad role at a startup or small high-output team.
  • Proficiency in documenting processes through SOPs, runbooks, and checklists.
  • Fluent with modern tools including Slack, Notion, Google Workspace, Ashby or an equivalent ATS, expense and AP tools, and calendar and travel platforms.
  • Ability to move fast and prioritize shipping a version 1 product quickly.
  • Strong context reading skills to know when to ask, when to decide, and when to handle tasks independently.
  • Strong written communication skills for drafting follow-up emails, candidate notes, and vendor briefs.
  • Must be located in or willing to relocate to San Francisco.

Nice To Haves

  • Experience using AI tools (Claude, ChatGPT, Relay, Zapier) for automation.
  • Experience setting up payroll or benefits from scratch, or resolving issues with existing systems.
  • Experience managing an office move or a company offsite end-to-end.

Responsibilities

  • Own the CEO's calendar, inbox triage, and meeting preparation.
  • Book travel and manage logistics for the CEO.
  • Run sales follow-up, including drafting, sending, and tracking responses to open meetings, and maintaining the AI-assisted follow-up workflow.
  • Prepare briefs for investor meetings, customer calls, and external events.
  • Manage office operations, including supplies, mail, repairs, vendors, the lease, and coordinating office moves.
  • Handle front desk duties, greeting visitors, and managing mail and packages.
  • Set a positive and calm tone for the office environment.
  • Onboard new hires, including setting up laptops, accounts, access, and welcome kits, and manage off-boarding processes.
  • Support recruiting efforts by scheduling interviews, managing candidate experience, running work-trial logistics, and maintaining the Ashby ATS.
  • Manage day-of execution for in-person events, including venue, catering, guest lists, and RSVPs.
  • Build internal automations using Claude and Relay, and write Standard Operating Procedures (SOPs) for recurring tasks.
