Why This Role Matters The role will be primarily responsible for supporting the Head of Department for Old Master Paintings and the International Deputy Chairman, Old Master Group both based in New York. The function of this role will also include assisting the Old Master Paintings department with comprehensive administrative support. The duties are varied, and will follow the cycle of the sales calendar as well as certain duties to support overall department activity.

Responsibilities

  • Manage diary scheduling including all meetings and travel for Head of Department, Old Master Paintings; and International Deputy Chairman, Old Master Paintings
  • Reconcile and submit corporate card expenses for approval using internal system
  • Manage client relationship including meeting arrangements, mailings, correspondence and action points for follow-up visits
  • Greet clients on behalf of department business getters
  • Possess a deep and intimate familiarity with all active and prospective clients and their collections, including anticipating and responding to their needs
  • Assisting both the Head of Department and Deputy Chairman with client management. Being a key point of contact in both pre-sale and post-sale organisation and management for Old Master Clients, working with the department and support departments to deliver a seamless client experience
  • Phone bidding in auctions as required
  • Work closely, efficiently, and effectively with other specialist departments, Christie’s international and regional offices, external organizations, individuals, and institutions
  • Provide support in creating proposals, pitches, and appraisals, which includes gathering item details and images, and liaising with clients, specialists, and other internal departments
  • Answer and screen incoming telephone calls on behalf of the cluster
  • Create purchase orders and sundry invoices, as required
