About The Position

SET SEG is looking for an Executive Assistant Coordinator that will provide administrative and organizational support to the Executive Team. This role helps organize meetings, resources, and information, while serving as a backup on calendar management and travel coordination. The Executive Assistant Coordinator will also support projects, information flow, and internal coordination while assisting with Board matters and coordinating executive support activities across multiple leaders. Requirements

  • Bachelor's degree and seven plus years of experience in a professional business setting is preferred, or equivalent combination of education, certification, and experience.
  • ​​​​Minimum of three years providing support to executive leadership required.
  • Ability to maintain a high level of confidentiality.
  • Excellent communication skills, both written and verbal, with the ability to effectively respond on behalf of the Executive Team are required.
  • Outstanding customer service skills.
  • Strong interpersonal skills.
  • Strong organizational and multi-tasking skills.
  • Time management skills with the ability to meet deadlines with attention to detail, even under pressure.
  • Ability to develop effective working relationships with peers in a fast-paced executive level environment.
  • Must be able to coordinate multiple tasks and organize workflow.

Responsibilities

  • Performs a broad range of confidential and diverse administrative and coordination duties in support of the executive team.
  • Executes executive items and exercises discretion to finalize planning and coordination of meetings and events.
  • Coordinates executive schedules and meetings across multiple leaders to reduce conflicts, improve flow, and ensure priority alignment.
  • Proactively develops an understanding of SET SEG business processes and systems.
  • Screens and facilitates handling of highly confidential material for Executive Team.
  • Assists with scheduling Board meetings and Board communications.
  • Assists with arrangements for Board Member lodging, out-of-office meeting locations and other travel arrangements, when necessary.
  • Serves as a back-up to the Executive Assistant who prepares Board of Directors/Trustees meetings and serves as secretary to the Board, including taking meeting minutes.
  • Assists in the collection and recording of proxy votes for the annual election of Board of Directors/Trustees.
  • Maintains contract and correspondence files for all SET SEG companies.
  • Manages annual ticket subscriptions and works with Executive Director to disperse amongst Board members, leadership team, and staff.
  • Performs other duties as assigned by the Associate Executive Director and Executive Team.
