About The Position

The Executive Assistant and Board Liaison provides critical administrative support across two key areas: the Board of Directors and the Executive Team. This full-time position manages the administrative and governance functions of the Board, while also providing dedicated support to executive leadership, with a special focus on Business Operations. This role is responsible for handling sensitive materials, managing confidential HR filing, and assisting with compliance-related tasks. The ideal candidate is highly organized, detail-oriented, and maintains the highest level of professionalism and discretion.

Requirements

  • 5+ years of experience in high-level executive support and/or board administration.
  • Proven ability to handle highly confidential materials and sensitive information with professionalism and discretion.
  • Strong understanding of meeting procedures, board governance standards, and/or nonprofit compliance concepts.
  • Excellent written communication skills and meticulous attention to detail.
  • Proficiency with Microsoft Office Suite and/or Google Workspace; familiarity with board management platforms is a plus.
  • Exceptional organization, prioritization, and project coordination abilities.
  • Strong interpersonal communication skills; comfortable working with board members, executives, and employees.
  • Ability to work independently and manage multiple priorities within tight deadlines.
  • Familiarity with nonprofit compliance, bylaws, and corporate policy documentation.

Responsibilities

  • Schedule and coordinate all board and committee meetings (virtual and in-person).
  • Prepare and distribute agendas, materials, and meeting packets in collaboration with the CEO and Board Chair.
  • Record, finalize, and archive meeting minutes accurately and confidentially.
  • Maintain up-to-date board records, governance documents, and directories.
  • Support the annual governance calendar, including policy renewals, disclosures, and board evaluations.
  • Facilitate communication between board members, committees, and executive leadership.
  • Assist with onboarding of new board members.
  • Coordinate logistics for annual board retreats and special governance events.
  • Assist the Executive Team with confidential administrative tasks, including filing, record-keeping, and data entry.
  • Handle sensitive employee documentation, correspondence, and reports with professionalism and discretion.
  • Support organizational compliance efforts by assisting with audits, policy updates, and required documentation tracking.
  • Provide scheduling, correspondence, and logistical support for the Executive Team.
  • Manage organization wide travel booking.
  • Support collection of mail and bank deposits.
  • Assist with the preparation of reports and presentations for executive leadership and board meetings.
  • Other duties as requested.
