The Executive Assistant Affiliate is responsible for providing administrative and clerical assistance to the assigned Executive officer and/or Executive team with daily activities and projects, performing a wide variety of complex clerical functions. This position supports Urology Affiliates, an affiliate of Solaris Health, and may involve coordination across affiliate-specific operations.

Requirements

  • High School Diploma or equivalent required.
  • At least four years of related experience required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong problem-solving skills.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Ability to work independently and manage deadlines.
  • Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and Outlook.

Nice To Haves

  • Bachelor’s degree in Business Administration or related field preferred.

Responsibilities

  • Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people within the affiliate structure.
  • Maintains travel arrangements and appointment calendar for Executives and Physicians.
  • Arranges appointments, meetings, and conferences.
  • Contacts the appropriate persons to attend.
  • Attends meetings or conferences as assigned and reports on major points and actions involved to be taken.
  • Attends monthly board meetings and takes minutes for affiliate leadership.
  • Handles a variety of matters involving contact with various staff, board members, medical committees, government agencies, and the public.
  • Composes correspondence and disseminates to appropriate individuals.
  • Answers phones.
  • Prepares various documents and handles confidential matters in accordance with clinic and affiliate rules and procedures.
  • Maintains patient confidentiality.
  • Enhances communications by consistently displaying excellent customer service skills in behavior and attitude.
  • Performs other position-related duties as assigned.
  • Employees shall adhere to high standards of ethical conduct and comply with all applicable laws and regulations, including the Solaris Health Code of Conduct and all national and affiliate policies; maintain confidentiality of patients' protected health information; immediately report any suspected concerns and/or violations; and complete Annual Compliance Training in a timely manner.
