About The Position

The Executive Aide provides high-level administrative and operational support to the Executive Director. This position plays a critical role in ensuring the efficient coordination of the Executive Director’s schedule, communications, and priorities. The Executive Aide serves as a key liaison between the Executive Director and internal staff, government agencies, community partners, and stakeholders. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Aide will support strategic initiatives, coordinate meetings and events, and assist with communications and relationship management, particularly with governmental and external partners.

Requirements

  • Bachelor’s in Business Administration, Communications, Public Administration, or related field, or equivalent education, or experience relevant to the role of the position.
  • Minimum of 3–5 years of experience supporting senior leadership or executives.
  • Demonstrated experience managing complex calendars and scheduling in a fast-paced environment.
  • Experience working with or alongside governmental agencies, elected officials, or public sector organizations.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and virtual meeting platforms.
  • Ability to manage multiple priorities and adapt to changing needs.
  • Ability to work independently and collaboratively.

Nice To Haves

  • Experience in a nonprofit, public sector, or Cooperative Extension environment.
  • Familiarity with Suffolk County governmental structure and agencies.
  • Experience supporting executive-level meetings, boards, or advisory groups.

Responsibilities

  • Support engagement with governmental agencies, including scheduling, documentation, and follow-up.
  • Manage and coordinate a complex and dynamic executive calendar, including scheduling meetings, prioritizing requests, and resolving conflicts.
  • Serve as a primary point of contact between the Executive Director and internal/external stakeholders, including government agencies, elected officials, and community partners.
  • Draft, review, and manage correspondence on behalf of the Executive Director, ensuring timely and professional communication.
  • Support the Executive Director in tracking priorities, deadlines, and key initiatives.
  • Coordinate logistics for meetings, events, and tours.
  • Facilitate communication and coordination across departments to support organizational goals.
  • Assist with special projects and other duties as assigned.
  • Ability to meet travel requirements associated with this position.
  • A valid NYS driver's license with the ability to drive and driving record acceptable for agency insurance coverage are required.
  • Ability to meet acceptable background check standards.
  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate.
