About The Position

The Executive Affairs Administrator is vital in ensuring that the executive team operates smoothly and effectively, contributing to the overall success of the organization. This is a key position that requires a blend of analytical thinking, excellent communication, and strong organizational skills to support the executive team and drive the company’s objectives forward.

Requirements

  • Bachelor's degree in related field and 2 years of related experience, or 5 years of direct experience in Executive Administrator role.
  • Experience in project management and executive support.
  • Experience fostering an inclusive and collaborative environment.
  • Tech-savvy, resourceful, and adaptable to evolving systems and processes.
  • Meticulous attention to detail – repeated errors are not acceptable in this role.
  • This is an onsite role at our corporate headquarters and requires occasional travel for meetings or company events.

Nice To Haves

  • Advanced degree in related field.
  • 7 years of relevant experience, with a background in project management or executive support, preferably in the aerospace and defense sector.

Responsibilities

  • Provides seamless support to the CEO and other senior leaders, ensuring their time is maximized and aligned with organizational goals. This includes managing extensive calendars, organizing meetings, and coordinating travel events.
  • Administers high-level projects and initiatives, providing operational support to leadership to facilitate communication and collaboration across departments.
  • Contributes to the planning and execution of organizational initiatives, helping to align projects with the company’s vision and mission. This includes maintaining systems for tracking projects, commitments, and documents to ensure seamless execution.
  • Supports communication and coordination with the board of directors and other key stakeholders, ensuring timely communication and follow-up on important matters.
  • Administers company-wide engagement surveys, which include communication and providing detailed analytics of results.
  • Supports senior leaders with their onboarding tasks such as ordering credit cards, business cards, company apparel, candidate expense reports relating to interviews and travel, and other miscellaneous tasks, ensuring timely completion.
  • Supports with miscellaneous projects such as company-wide gift cards initiatives and holiday planning, ensuring effective communication, collaboration, and detailed accuracy is maintained.
  • Assimilates and distributes a variety of weekly and monthly reports.
  • Provides front desk support in welcoming visitors, verifying visit requirements, and ensuring a professional and welcoming environment.
